About The Position

The Manager of Facilities reports to the Director, Facilities Management. This position is responsible for the operational and financial oversight for the Nashville, Tennessee based Class A office facilities. The oversight includes facilities maintenance, janitorial, grounds, utilities management, meeting room setups, mail services, and customer service with other departments. Manages staff and is accountable for personnel actions including hiring, performance and salary reviews, disciplinary action and termination. Responsible for the on-site supervision of staffing and contract resources, administration of budgets and establishing schedules to effectively meet the company's business needs. Oversees mailroom functions including delivery, records management, secure shredding and coordinates with the Mail/DCC department for best practices. Participates in the development and implementation of programs and service initiatives to ensure functional excellence through efficient and flexible plans and processes. Contributes to and aligns with best practices for the entire department. Assures compliance to all environmental or building, fire, health, OSHA, and ADA codes or regulations. Provides a safe, effective, efficient, and secure work environment for all associates. Coordinates installation, repairs, or preventive maintenance of building mechanical, HVAC, electrical, plumbing, cabling, life safety, and access systems. Assists with set up chairs and tables for meetings and training. Tracks work order requests, time, and resources. Oversees janitorial services and ensures the workplace is cleaned appropriately. Works with the Purchasing group to establish and maintain contracts for materials and services. Coordinates with IT department for projects. Oversees and coordinates with all utility companies, code officials and other authorities having jurisdiction of the facility. Assists in the coordination of Corporate Support Services functions for the Business Recovery Plan. Perform training and drills relating to emergency procedures. Prepares reports regarding the status of the company's physical assets. Establishes staff cross training program(s) as needed to ensure manager and the entire team is able to perform all facility related services. Evaluates individual performance reviews and perform other duties as assigned Performs other duties and/or projects as assigned.

Requirements

  • Proficient in organizing, financial reporting, communicating with senior management and presenting proposals, negotiating contracts, problem solving, and providing excellent customer service.
  • Must understand the following: building, fire, ADA and related codes; ability to read construction documents; skilled trades including mechanical, HVAC/R, plumbing, electrical, structural, security systems, life safety and kitchen equipment.
  • Operational and functional understanding of computer-based facilities systems such as security access, and building maintenance.
  • Must be able to utilize computer applications to generate spreadsheets, proposals, and reports and develop required databases to support operations.
  • Excellent written and verbal communication skills are required.
  • Knowledge of local laws, regulations, and standards associated with health and safety, labor compliance, and building codes.
  • Ability to be on call 24/7 or as required by project, may need to travel as needed in order to meet project timelines.
  • Data center maintenance and build out experience/skills in support of existing centers and possible new locations.
  • Must be self-motivated and proactive
  • Ability to handle confidential information.
  • Position may require after hours follow up and/or management of certain activities.
  • Ability to interact directly with a variety of customers, vendors, associates, management, and executive management is essential.
  • Periodic business travel to other Jackson locations may be required.
  • Ability to manage, lead and train staff.
  • Bachelor's Degree in Facilities Management or related field and/or equivalent experience preferred.
  • 7+ years progressive experience in managing the facilities operations for a 200,000 or more square feet corporate office.
  • Experience should include facilities maintenance, repairs, grounds keeping, janitorial services, and utilities management, with proficiency in mechanical, HVAC/R, plumbing, electrical, kitchen equipment, and life safety systems required.
  • Experience in the development and management of preventative maintenance programs required.
