Working with and reporting to the CFO on a daily basis, the Executive Operations position adds intellectual value and provides executive support with strong business acumen in parallel. This position serves as the primary point of contact for internal and external matters pertaining to the Chief Financial Officer. The Executive Operations partner also serves as a trusted confidant privy to highly confidential information. The ideal individual will have the ability to exercise good judgment in a variety of situations, with exceptional organizational skills, strong written and verbal communication, and the ability to maintain a realistic balance among multiple priorities. This role requires the ability to work independently on projects from conception to completion and to operate effectively under pressure while handling a wide variety of activities and confidential matters with discretion. Responsibilities

  • Work closely and effectively with the CFO to keep them informed of upcoming commitments and responsibilities, ensuring their day runs smoothly and efficiently.
  • Act with integrity in all interactions and serve as a trusted confidant for sensitive information.
  • Plan, coordinate, and ensure the CFO’s schedule is aligned to strategic priorities; perform calendar analysis to understand how time is being utilized and make recommendations based on findings; act as the “gatekeeper” for direct access to the CFO’s time.
  • Complete a broad variety of administrative tasks for the CFO, including maintaining contacts, identifying and engaging support personnel, conducting background research, preparing briefings for events and PR activities, supporting interview preparation, completing expense reports, composing correspondence, arranging complex travel, and compiling meeting materials.
  • Manage record-keeping duties: prepare meeting documents, take notes, compile and distribute official minutes, communicate action items, hold the executive team accountable, and ensure follow-through.
  • Schedule, research, prioritize, and follow up on incoming emails, correspondence, issues, and concerns addressed to the CFO, including those of a sensitive or confidential nature.
  • Serve as a liaison to the G&A executive teams, communicating directly on behalf of the CFO when requested.
  • Partner closely with Board members and internal stakeholders to coordinate Board meeting logistics, materials, and communications, playing a key role in seamless preparation, execution, and follow-through.
  • Serve as a key point of contact for investors, customers, and other external stakeholders, engaging with professionalism, discretion, and strong executive presence.
  • Schedule and plan team meetings and coordinate supporting decks and documents.
  • Work closely with partners in Executive Operations and across the company to ensure cross-functional alignment and execution of G&A, and company-wide initiatives.
  • Provide a bridge for smooth communication between the CFO and internal departments, demonstrating leadership to maintain credibility, trust, and strong working relationships.
  • Prioritize conflicting needs; handle matters proactively and expeditiously, following through on projects to successful completion, often under tight deadlines.
  • Provide on-call support for projects you are involved in, such as executive hiring.
  • Lead, mentor, and develop a team of Executive Assistants, providing guidance, coaching, and oversight to ensure consistent, high-quality executive support aligned with organizational priorities.
