We are seeking an experienced and proactive Manager for the Executive Office of I3R, reporting to the Associate Vice Chancellor and Founding Executive Director of the Institute for Integrative and Innovative Research at the University of Arkansas. This position will be responsible for supporting the Director in managing complex administrative tasks while engaging with a diverse range of stakeholders, including university administration, philanthropists, government representatives, industry leaders, and community partners. This is a highly visible and strategic role that requires a strong communicator, exceptional organizational skills, and the ability to work independently and manage multiple priorities in a dynamic and fast-paced environment. A professional demeanor and the ability to establish effective working relationships are crucial in building trust and influence to accomplish work within a setting that includes a wide array of individuals, groups, policies, and processes.

  • Manage interactions with key external stakeholders, including industry and clinical partners, government officials, philanthropists, and community organizations.
  • Serve as a liaison between the Director and internal teams, university administration and all University units, and external partners, ensuring seamless communication and timely follow-up on key matters.
  • Provide comprehensive administrative support to the Director, including calendar management, scheduling meetings, and preparing necessary documentation.
  • Support events, meetings, and forums involving high-level stakeholders and senior executives.
  • Prepare documentation to support annual faculty and staff evaluations.
  • Prepare and edit correspondence, reports, presentations, and other communication materials for internal and external audiences.
  • Maintain a high level of confidentiality and professionalism in all interactions and correspondence.
  • Assist in managing executive-level relationships, ensuring effective engagement and follow-through on strategic initiatives.
  • Support the Director with special projects and initiatives as needed.
  • Bachelor’s degree from an accredited institution and/or related experience.
  • Minimum of 5 years of experience in an executive office manager or administrative support role.
  • Proven experience in managing relationships with senior executives and external stakeholders.
  • Previous experience in event planning and coordination.
  • Proficiency with Microsoft Office Suite and other business productivity tools.
  • Experience with software application programs and database management.
  • Master’s degree in management, or a related field.
  • Experience working with government entities, philanthropic organizations, or community-based stakeholders.
  • Experience in a higher education or non-profit environment.
  • Experience using Project Management Tools.
  • Familiarity with academic environments and university administration processes.
  • Experience using Workday.
