About The Position

The Manager, Event Operations & Food Services is responsible for the end‑to‑end planning, execution, and financial management of events, serving as the primary point of contact for clients while coordinating internal teams and external vendors. This role ensures seamless event delivery, exceptional guest experiences, strong fiscal oversight, and operational alignment across departments.

Nice To Haves

Responsibilities

  • Serve as the primary liaison for clients from inquiry through post‑event evaluation
  • Translate client objectives, preferences, and budgets into customized event proposals and execution plans
  • Manage multiple client engagements concurrently while ensuring service excellence and expectation alignment
  • Oversee all logistics for assigned events, including space selection, room configuration, staffing, setup, décor, audiovisual needs, and event flow
  • Direct on‑site event execution, ensuring all details are properly planned, communicated, and delivered
  • Provide real‑time support during events to address guest needs and last-minute adjustments
  • Collaborate with internal departments, including Event Operations, Catering, Facilities, Security, Janitorial, and A/V to ensure seamless service delivery
  • Plan and lead pre‑production and post‑production meetings to align stakeholders on scope, timelines, and responsibilities
  • Source, negotiate, and manage external vendors (e.g., entertainment, florists, photographers)
  • Coordinate with Facilities to secure Certificates of Insurance (COIs) and ensure all required documentation is on file
  • Maintain strong vendor relationships to support quality, efficiency, and service standards
  • Partner with culinary teams to develop custom menus and beverage programs aligned with client needs
  • Ensure food and beverage service aligns with event timelines, quality standards, and guest expectations
  • Develop, track, and manage event budgets, ensuring cost control and financial accuracy
  • Prepare detailed cost estimates, margin projections, and post‑event financial reports
  • Administer change orders and assist clients with cost transparency
  • Process internal invoices, billing documentation, and financial coding accurately and on time
  • Conduct post‑event evaluations, collect client feedback, and identify opportunities for enhancement
  • Apply insights to improve future event execution and client satisfaction
  • Contribute creative ideas and innovative concepts to enhance event experiences
  • Support departmental financial goals through efficiency improvements and vendor optimization
  • Mentor or support team members as needed during complex or high‑volume event periods
