About The Position

The Contract and Billing Administration Manager plays a crucial role in the success of the Commercial Solutions division by overseeing the end-to-end contract and billing processes. This position combines leadership responsibilities with functional tasks, ensuring that all contracts meet necessary standards while managing a team effectively.

Requirements

  • 5 plus years of experience in a billing or contract administration role.
  • 1 - 2 years of experience as a manager with supervision of 3 - 5 direct reports.
  • Experience developing contract management and billing processes.
  • Ability to clearly communicate both verbally and written.
  • Proficient with full suite of Microsoft products.
  • Construction contract management experience a plus.
  • Pro Core and Oracle EBS experience a plus.
  • Associate degree in business administration or accounting and finance; Bachelor's degree preferred.

Responsibilities

  • Provide leadership and oversight to the administration team ensuring all key processes are followed while holding the team accountable to the core KPIs.
  • Continuously review and refine the end-to-end administration process including the contract management, billing, and invoicing processes.
  • Develop, maintain, and deliver key reporting to assist Commercial Solutions growth initiatives.
  • Review all contracts and ensure all requirements are covered.
  • Work with legal department on the review and negotiation of contract terms and conditions.
  • Work with credit/finance to review customers for credit worthiness and assist sales team in the negotiation of key terms with customers.
  • Work with project management to ensure the scope of work, pricings, schedule, etc. are in alignment with submitted proposals.
  • Ensure accuracy and timeliness of processing contract pay applications and customer invoices.
  • Work with all teams to resolve pay application and invoicing issues quickly and efficiently.
  • Assist credit department with collection efforts.
