The Manager of Billing Operations oversees the accuracy, integrity, and ongoing maintenance of all data within the firm’s billing and financial systems. This role ensures that matter setups, client billing requirements, fee arrangements, and system configurations are properly established and continuously optimized. They lead a team responsible for day‑to‑day billing operations, providing guidance, training, and performance oversight to ensure timely and compliant billing processes. The manager partners closely with finance, legal teams, and leadership to streamline workflows, resolve complex billing issues, and support strategic initiatives. Through strong operational oversight, this role helps drive efficiency, data quality, and overall financial performance for the firm.

Requirements

Bachelor’s degree in finance, business administration, accounting, or related field (or equivalent experience).
5+ years of experience in legal billing, financial operations, or revenue management; law firm experience strongly preferred.
2+ years of supervisory or team leadership experience.
Strong knowledge of legal billing systems (e.g., Aderant, Elite 3E, or similar platforms).
Background in billing and collections processes.
Exceptional attention to detail and commitment to data accuracy.
Excellent communication, problem‑solving, and stakeholder‑management skills.
Ability to lead teams in a fast‑paced environment with shifting priorities.

Responsibilities

Billing System Oversight & Data Integrity Ensure proper setup and maintenance of all clients and matter data, including billing instructions, fee agreements, rates, and financial attributes.
Maintain the integrity, accuracy, and completeness of data within the firm’s billing systems.
Confirm that client billing guidelines, e.g. disbursement restraints, are properly implemented and applied to firm invoicing.
Oversee system configuration updates, workflow enhancements, and ongoing optimization efforts.
Partner with IT/Finance Systems teams on upgrades, testing, troubleshooting, and documentation.
Operational Leadership Direct the daily work of the billing operations team, including task assignment, productivity monitoring, and quality reviews.
Provide training, coaching, and development opportunities to support high performance and strong service delivery.
Establish and maintain standard operating procedures (SOPs) and ensure team adherence.
Billing Support & Issue Resolution Serve as a point of escalation for complex or sensitive billing matters, collaborating with attorneys, finance teams, and clients to resolve issues efficiently.
Monitor billing cycles to ensure compliance with client requirements, deadlines, and firm policies.
Review exception reporting and proactively identify data inconsistencies or process gaps.
Provide ad-hoc support on other projects as needed.
Process & Workflow Improvement Lead initiatives to improve billing processes, enhance data quality, and drive operational efficiency.
Promote best practices for billing setup, documentation, and controls.
Evaluate opportunities for automation and system enhancements to support firm-wide financial objectives.
Cross-Functional Collaboration Partner with billing and collections leadership, revenue management, and finance colleagues to ensure accurate and aligned billing practices.
Provide insights and support for firmwide financial reporting, audits, and business analysis.
