About The Position

Requirements

  • Two years of increasingly responsible secretarial or administrative support experience.
  • Thorough knowledge of correct English usage, grammar, and modern office methods.
  • Ability to understand departmental organization and policies.
  • Ability to compose clear and concise correspondence independently.
  • Ability to maintain confidentiality and establish effective public relations.

Nice To Haves

  • Experience with electronic tracking systems such as PeopleSoft (VCHRP), NeoGov, SIRE, ViaOne, Ventiv.
  • Advanced proficiency in Microsoft Excel, Word, and PowerPoint.

Responsibilities

  • Supports multiple divisions within the County Executive Office-Human Resources.
  • Serves as liaison between the administrator, staff, and the public.
  • Relieves the administrator of routine personnel, budget, timekeeping, and purchasing tasks.
  • Takes and transcribes meeting notes; performs filing, scanning, and copying tasks.
  • Processes payments related to Risk Management claims.
  • Utilizes multiple electronic tracking systems (i.e., SIRE, VCHRP, ViaOne, Venitv).
  • Revises, proofreads, and edits documents for accuracy and detail.
  • Oversees the review process of Board Letters and coordinates with various offices.
  • Enters and processes background check information and reports.
  • Assists in compiling data for Public Records Act Requests.
  • Screens incoming correspondence and prepares replies for the administrator.
  • Acts as the administrator's receptionist, managing calls and inquiries.
  • Makes appointments and arranges travel and meetings for the administrator.
  • Researches and organizes information for reports and special projects.
  • Sets up and maintains office files and records, recommending changes as necessary.
