About The Position

Legacybox is seeking an Asset Reliability & Maintenance Manager to own the performance, longevity, and reliability of our digitizing equipment fleet. This role is responsible for managing several million dollars in production assets across more than 1,000 unique media-related machines, ranging from high-value, single-purpose equipment exceeding $100,000 to smaller modular units in the hundreds of dollars. This is not a traditional facilities or break-fix maintenance role. The primary focus is ensuring our digitization assets are clean, calibrated, repairable, swappable, and operational every day. The role blends asset lifecycle ownership, SOP creation, team leadership, budgeting, vendor management, and continuous improvement, with meaningful partnership across Production, R&D, and Finance. Facilities maintenance represents less than 10% of the role.

  • Has built and managed equipment or asset systems before.
  • Comfortable owning budgets and working with vendors, and has had past experience
  • Operationally disciplined and systems-oriented.
  • Financially literate and able to think in terms of ROI and lifecycle cost.
  • Collaborative partner across technical, operational, and finance teams.

Responsibilities

  • Own the full lifecycle of Legacybox digitization assets, from acquisition through maintenance, repair, and replacement.
  • Implement and manage a comprehensive asset management system covering: Asset inventory and classification Age, condition, utilization, and depreciation tracking Preventative maintenance schedules Repair history, downtime, and failure patterns
  • Track asset life and repair cycles to inform repair-versus-replace decisions and capital planning.
  • Maintain a stock of ready-to-go, swappable repaired equipment to minimize production downtime.
  • Be accountable for daily asset uptime and long-term reliability.
  • Design and document equipment cleaning SOPs with clear cadence and ownership.
  • Create approved repair SOPs, including: Step-by-step processes Time studies and labor expectations Required tools, parts, and skill levels
  • Establish predictable daily, weekly, and monthly maintenance and repair workflows aligned with production schedules.
  • Continuously improve SOPs based on operational data, observed failures, and asset performance.
  • Lead, coach, and develop direct reports focused on equipment cleaning, maintenance, and repair
  • Set priorities, schedules, and performance expectations.
  • Remain hands-on enough to earn trust and credibility, without being buried in day-to-day repairs.
  • Build a culture of discipline, documentation, and continuous improvement.
  • Serve as the escalation point for complex issues within the production facility
  • Foster strong collaboration between teams
  • Drive innovation in repair methods, tooling, and processes to reduce downtime and extend asset life.
  • Analyze recurring failures and root causes, escalating patterns and recommendations.
  • Partner closely with R&D to: Surface systemic equipment issues Propose design improvements or alternative equipment Inform future equipment upgrades and standards
  • Establish clear frameworks for internal repair versus third-party outsourcing.
  • Identify, evaluate, and manage third-party repair partners when external repair is more cost-effective.
  • Negotiate pricing, turnaround times, and service expectations.
  • Ensure external repairs meet Legacybox quality and reliability standards.
  • Own and manage the maintenance and asset operations budget, including: Labor costs Parts and consumables Repair costs by asset Capital equipment purchases
  • Build asset-level cost visibility to understand true operating and maintenance costs.
  • Partner with Finance and the CFO on: Capital expenditure planning Replacement and upgrade pacing Repair economics and ROI analysis
  • Source, evaluate, and acquire new equipment in alignment with operational and financial goals.
  • Maintain a basic playbook for common facility repairs.
  • Coordinate minor facility maintenance as needed.
  • Escalate larger facility projects appropriately.
  • Coordinate repairs and maintenance for building systems such as HVAC, electrical, and utilities
  • Ensure all maintenance and repair work follows safety standards and company policies
  • Maintain compliance with local, state, and federal regulations
