Job Summary The National Institutes of Health (NIH) tracks approximately 75,000 facility assets across disciplines including Conveyance, Electrical, Mechanical/HVAC, Plumbing. To enhance efficiency and accuracy in tracking and maintaining these assets, NIH has implemented an Integrated Work Management System (IWMS), streamlining the process for submitting and managing trouble and maintenance tickets electronically. As the prime contractor supporting this system, Salas O’Brien is seeking a Maintenance Planner to join our team onsite at the NIH campus in Bethesda, Maryland. This role will primarily support the Division of Facilities Operations and Maintenance (DFOM), ensuring effective coordination and management of facility maintenance activities within the IWMS framework. You will be working in an office environment.

  • Associates degree plus 3 years’ experience, or Bachelors from accredited institution in Facility Management, Operations Management, Logistics, Industrial Engineering or related discipline
  • Candidates without a degree may qualify with an equivalent combination of education and professional level experience in work control, planning, or logistics
  • Proficient with the Microsoft Office suite of applications (e.g., Outlook, Word, Excel, etc.), particularly Excel
  • Knowledge of Integrated Work Management Systems (IWMS) or Computerized Maintenance Management Systems (CMMS) (preferred)
  • Excellent verbal and written communication skills; ability to communicate at multiple levels, including engineers, project managers, business analysts, and customers
  • Must be a US Citizen for Security Clearance requirements
  • Ability to pass government background checks and obtain Confidential government Security Clearance

Responsibilities

  • The Maintenance Planner will support the Division of Facility Operations and Maintenance (DFOM) by assisting call center and work reception staff to ensure the customer requested maintenance tickets are efficiently assigned and prioritize.
  • Organize and coordinate maintenance or modification activities by reviewing maintenance tickets and linking them to the corresponding assets within IWMS
  • Accurately document, track, and close out work within medical, lab, and large physical plant facilities
  • Develop work packages, instructions, and procedures to ensure safe, efficient, and compliant execution of task
  • Link maintenance requests to the specific assets responsible for reported issues
  • Identify and report duplicate maintenance tickets to DFOM staff
  • Assist DFOM staff with filters, reports, and dashboards in IWMS Nuvolo to ensure customer requested maintenance tickets are effectively risk-assessed and assigned appropriately
  • Help DFOM staff manage the backlog of low-priority customer requested maintenance tickets by developing and maintaining resolution plans
  • Coordinate with cross-functional teams including engineering, manufacturing, and supply chain management to support operational efficiency
  • Provide status reports and analyze production data to inform decisions and drive continuous improvement initiatives
  • Review and test monthly IWMS releases and identify or verify bugs
  • Assist with the planning and prioritization of new IWMS releases
  • Support the development and phased deployment of IWMS features
  • Coordinate with IWMS developers
  • Provide recommendations for system enhancements to improve functionality and efficiency
  • Deliver training and support for IWMS users on both desktop and mobile platforms
  • Manage the ORF IWMS inbox and provide customer service support for user inquires and issues
