Job Description Planner / Scheduler (Maximo) Work Schedule: Monday–Friday, 7:00 AM – 4:00 PM Additional hours as needed to support plant operations Approximately 30% of the role requires time spent on the production floor supporting maintenance activities, job planning, and coordination Position Summary Reporting to the Maintenance Superintendent, the Planner/Scheduler is responsible for coordinating, planning, scheduling, and supporting maintenance activities using Maximo CMMS. This role ensures work orders are properly planned with the required labor, materials, tools, documentation, and safety considerations in place before execution. The Planner/Scheduler plays a key role in optimizing maintenance efficiency, minimizing downtime, and supporting plant reliability initiatives.

Requirements

  • Minimum 5 years of planning/scheduling experience using Maximo CMMS
  • Mechanical and/or Electrical background required
  • Post-secondary degree or diploma (technical or related field preferred)
  • Strong craft knowledge with the ability to accurately estimate labor hours, materials, and skill requirements
  • Demonstrated ability to visualize, plan, and communicate work execution effectively
  • Excellent written, verbal, and presentation communication skills
  • Proven leadership and coordination skills
  • Strong mathematical, analytical, and problem-solving abilities
  • Highly organized with strong time-management and multitasking skills
  • Ability to provide clear, simple, and accurate work instructions
  • Ability to read and interpret blueprints, machine drawings, and process diagrams; capable of sketching or redlining drawings as needed
  • Solid understanding of maintenance processes, work order systems, planning/scheduling best practices, and storeroom operations
  • Proficient in Microsoft Office applications

Responsibilities

  • Review maintenance work requests for accuracy, completeness, and clarity; approve or return for correction as needed
  • Evaluate work requests to determine labor requirements, materials, priority, and safety considerations
  • Escalate questionable or poorly justified work requests to the Reliability Engineer
  • Spend time on the production floor (approximately 30%) to support job planning, verify scope, and coordinate with maintenance and operations personnel
  • Collaborate with Production Supervisors and Superintendents to ensure assets are prepared and available for scheduled maintenance
  • Coordinate with the Engineering Department to ensure all required documentation (drawings, BOMs, procedures, instructions, etc.) is available prior to job execution
  • Work closely with the Storeroom Coordinator to identify, secure, kit, and stage required parts well in advance of scheduled work
  • Coordinate with external vendors (e.g., rental companies, service providers) to ensure availability of specialized tools, equipment, and technicians
  • Develop job estimates and follow up to ensure work is completed within planned labor and material expectations
  • Ensure all work packages include clear instructions, required tools, and appropriate safety precautions
  • Provide feedback to the Maintenance Superintendent before closing signed-off work orders
  • Lead planning and scheduling meetings for line shutdowns and opportunistic maintenance activities
  • Manage and prioritize the maintenance work order backlog based on equipment criticality
  • Track and maintain accurate planning and scheduling performance metrics; generate reports for the Reliability Engineer
  • Provide training and ongoing support to maintenance personnel on Maximo CMMS usage
  • Collaborate with the Corporate Reliability Team and other IKO facilities as required
  • Participate in company initiatives and projects, including predictive maintenance programs and CMMS enhancements
  • Follow up with mechanics, electricians, and contractors to ensure preventive maintenance, project, and daily work orders are completed and properly documented
