Primary Purpose   The Maintenance Planner is responsible for all aspects of planning and scheduling including developing scopes of all maintenance work, implementing improvement of the asset management system, developing job packets, managing contract work, and actively participating in plant safety.

Requirements

  • Three (3) or more years experience in maintenance.

  • Functional use of Microsoft Office and maintenance management systems.
  • Highly organized and uses efficient work methods.

Responsibilities

  • Active participation in safety meetings, promoting engagement in the safety process, and ensuring the substance of the meetings.
  • Work with Operations and Maintenance Coordinator to schedule and prioritize critical environmental corrective and PM jobs.
  • Work with crew and contractors to ensure there are no environmental incidents associated with assigned work.
  • Be vigilant and report any environmental issues found or reported.
  • Exhibit excellent cooperation with Maintenance Coordinators, Operations Coordinators, Contractors, Operations Maintenance Coordinators and peers.
  • Be a Team Leader and direct proper actions with contractors and crew.
  • Serve as a temporary resource for coordinating peak activities as work load permits.
  • Actively participate in process equipment troubleshooting and failure analysis.
  • Coordinate any maintenance contract work.
  • Serve as a technical resource. Provide manuals, drawings, equipment files, etc.
  • Assist in “break in work.” (Planner will be involved if enough lead time exists to properly plan the job to the desired level)
  • Identify and expedite repair parts for break-in work.
  • Set high standards and expectations with crew and contractors to deliver the highest quality work, minimize rework, and improve reliability.
  • Order correct materials and specify/provide proper tools, equipment, procedures for all work packages.
  • Set high priority on quality-related work orders.
  • Generate job packets to the most reliable level for every job. The packet should be written so that the employee/contractor has the proper information to complete the job. The complexity of the packet also depends on the complexity of the work.
  • Work with craftspeople, Maintenance Coordinators, and others as needed to improve work procedures.
  • Maintain equipment Bills of Material (BOM) and New Stock Items.
  • Post work order histories in the system.
  • Minimize contractor work delays.
  • Closely manage T&M contract work and ensure completion of inspections, workorder feedback forms and return to service forms are all completed correctly.
  • Develop job scopes. Complexity of the scope will depend on the complexity of the work.
  • Inspect and enforce Domtar Safety and PPE requirements with contractors.
  • Participate in weekly planning meeting with the Operations Maintenance Coordinator.
  • Maintain a full backlog of ready for schedule (RFS) work orders so the maintenance coordinator can schedule a week of work for each craftsperson on Thursday.
  • Keep current with annual inspections to develop work scopes for the following outages.
  • Prepare an accurate estimate on all work requests before they are progressed for further approvals.
  • Generate stores pick list in support of planning work orders.
  • Generate requisitions for non-stock items in support of planning work orders.
  • Stage parts for maintenance jobs. (pre-kitting, hands on verification, directing stores on delivery, etc.)
  • Prepare weekly forecast schedule for the areas.
  • Develop shutdown timelines electronically using Microsoft Project.
  • Prepare add to stock (ATS) forms as needed.
  • Actively participate in maintenance budget monitoring and compliance.
  • Participate in required housekeeping audits.
  • Ensure contractors work in a safe, clean and respectful manner.
  • Manage major maintenance budgets, spending forecasting, mid month forecasting, accruals, and assist in development of major maintenance budgets.
  • Participate in screening work requests.
  • Update BOM for each equipment.
