This role is responsible for coordinating, executing, and managing the repair and replacement of university facilities assets, with a primary focus on the successful completion of capital improvement projects, asset renewal initiatives, and chargeable work order and project requests. The Maintenance Planner II oversees the planning, scheduling, and coordination of all aspects of work planning, including contractor management, quality control, project documentation, permitting, and other related activities necessary to ensure effective and efficient project execution.

  • Provide accurate and complete planned work packages by maintaining and entering detailed, timely data in AiM and e-Builder, including work status, costs, schedules, scope details, estimates, specifications, drawings, specialized equipment, UCF Standards requirements, permitting, compliance, and safety evaluations/plans for projects at both the Main Campus and Health Sciences Campus.
  • Develop scopes of work to be performed by contractors and vendors while ensuring compliance with UCF Procurement and Continuing Service Contractor guidelines.
  • Ensure processes and services meet current UCF Standards, follow departmental process guides, improve maintainability, and comply with policies and regulations.
  • Plan, organize, schedule, coordinate, and direct activities related to the repair, restoration, and replacement of existing assets, including oversight and management of contractors and consultants.
  • Schedule repairs in logical and necessary steps to meet required deadlines.
  • Collaborate with faculty and staff to ensure campus needs are met.
  • Provide stakeholders with project schedules that coordinate efforts between maintenance shops, building liaisons, vendors, customers, faculty, staff, UCF Inspectors, State of Florida Inspectors, and other stakeholders involved in completing work order requests.
  • Coordinate and manage utility and equipment shutdowns with appropriate stakeholders to support project completion.
  • Analyze schedule status and forecast availability by categorizing work backlogs, prioritizing needs, and assigning resources (line personnel and/or vendors) for timely completion.
  • Monitor contractor performance through periodic inspections to ensure scope fulfillment, completeness, quality workmanship, and compliance with the Work Management Process and Project Manager Manual.
  • Facilitate customer work review meetings using planning documentation and progress reports.
  • Track and report on planned versus completed work through regular updates and performance reporting.
  • Perform other duties as assigned.
  • Bachelor’s or Master’s degree and 4+ years of relevant experience.
  • Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6) .
  • Position requires a valid Class E driver’s license.
  • Bachelor’s degree in Engineering, Construction Management, Facilities Management, or a related field.
  • Experience in project management and using work order systems such as AiM and e-Builder.
  • Technical understanding of HVAC and mechanical systems.
  • Experience with planning, scheduling, and coordinating repair, replacement, or renovation projects.
  • Knowledge of safety regulations, permitting processes, and compliance requirements.
  • Knowledge of NEC, Florida Building Code, and ADA.
  • Proficiency with computer applications for data entry, scheduling, and reporting.
  • Demonstrated ability to manage contractors, vendors, and consultants to ensure quality and timely completion of projects.
  • Experience working in higher education or large institutional facilities environments.
  • Strong organizational and communication skills with experience coordinating multiple stakeholders, including inspectors, faculty, and staff.
