Please visit us at: https://fs.ucf.edu/ or Facebook and Instagram: UCF Facilities The Opportunity: The Maintenance Planner I is responsible for supporting the efficient repair and preventive maintenance of campus buildings within assigned shop(s) or zone(s). The position plans, schedules, organizes, and coordinates maintenance activities to ensure campus facilities operate at optimal levels. The role requires strong independent judgment, effective coordination skills, and the ability to work proactively under general supervision.

Requirements

  • Completion of an approved apprenticeship program in a recognized trade and 2 years of relevant experience, or a high school diploma and 2 years or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
  • Position requires a valid Class E driver’s license.
  • Applicant must be authorized to work for any U.S. employer, as sponsorship is not available for this position now or in the future.

  • Demonstrated ability to create, manage, and maintain maintenance schedules, including preventive, predictive, and corrective maintenance planning.
  • Strong analytical skills with the ability to assess work backlogs, determine priorities, forecast labor availability, and allocate resources efficiently.
  • Strong communication and customer‑service skills, with the ability to collaborate with diverse campus partners, supervisors, and external vendors.
  • Proficiency with Microsoft Office Suite, including Excel, Outlook, and Teams, or similar productivity tools.
  • Trade‑based experience, certification, or training (preferred but not required), such as HVAC, electrical, plumbing, or general facilities maintenance.
  • Working knowledge of multiple building systems, such as HVAC, electrical, plumbing, carpentry, masonry, painting, and life‑safety systems.
  • Experience using an Integrated Work Management System (IWMS) or Computerized Maintenance Management System (CMMS) for planning, scheduling, and documenting work.
  • Knowledge of regulatory and safety requirements, including permitting, inspections, and documentation needed for various building systems and maintenance activities.
  • Ability to develop, interpret, and work from technical documentation, including drawings, specifications, equipment manuals, and maintenance records.
  • Experience coordinating work with vendors, contractors, trade shops, inspectors, and internal stakeholders.
  • Familiarity with budget processes, such as identifying capital improvement needs, estimating project costs, and monitoring expenditures.
  • Experience supporting emergency response operations or assisting in urgent maintenance scenarios.
  • Experience with facility maintenance operations in a higher‑education, commercial, industrial, or large-scale campus environment.

Responsibilities

  • Work Planning & Coordination Improve workforce productivity and work quality by coordinating labor, parts, materials, tools, equipment, work area access, documentation, and all resources required for successful work execution. Ensure all work meets current UCF standards and complies with Work Management processes, policies, and regulations. Assist in processing work requests, maintaining work records and maintenance logs, assessing existing conditions, allocating resources, and preparing safety and compliance reports.
  • Maintenance Operations Coordinate repair and preventive maintenance for various building systems, which may include: HVAC, Electrical, Plumbing, Painting, Carpentry Masonry, Life safety systems, Other trade-related tasks Provide accurate and timely documentation in the Integrated Work Management System (IWMS), including work status, cost tracking, repair details, estimates, specifications, manuals, drawings, safety plans, and permitting requirements.
  • Scheduling & Workload Management Coordinate manpower scheduling with shop/zone supervision, cross-functional support trades, vendors, campus partners, and required state or university inspectors. Analyze schedule status, forecast availability, and categorize the work backlog based on priority and completion needs. Build a two‑week rolling schedule for pre-planned preventive, predictive, and corrective work orders. Support daily operations by assisting with prioritizing high‑priority work and reallocating employees as needed.
  • Vendor Coordination & Contract Oversight Plan, organize, schedule, and coordinate vendor activities for the repair, restoration, or replacement of existing assets. Assist in monitoring contract services to ensure compliance with UCF standards, procurement guidelines, quality expectations, and contractual requirements.
  • Emergency Response & Operational Support Assist in planning, coordinating, and implementing emergency response efforts when required. Provide operational support in day‑to‑day shop/zone supervision and resource assignment.
  • Budget & Capital Planning Support the annual budget process by identifying capital improvement projects, major operational expenditures, and monitoring shop/zone spending.
