About The Position

The Maintenance Coordinator at Penske Truck Leasing and Logistics plays a crucial role in ensuring the operational efficiency and effectiveness of maintenance services at the branch. This position is responsible for providing superior customer service and communication to both internal and external customers, thereby enhancing customer satisfaction and profitability. The Maintenance Coordinator will support the branch financial manager by offering guidance and information that contributes to the overall performance of the branch. This role encompasses two primary areas: Parts Administration and Service Counter Support, with each associate having a unique accountability list as defined by their Branch Financial Manager. In the realm of Maintenance Service Customer Support, the Maintenance Coordinator will maintain the Service Net Planner, which includes managing preventive maintenance (PM) campaigns, repairs from drive-ins, call-ins, and 24/7 calls. The coordinator will initiate repair orders (R/O), schedule pick-ups, and coordinate vendor work. Collaboration with Centralized PM Scheduling Operations and Outside RO Management teams is essential to foster a supportive environment for customers. Additionally, the coordinator will greet customers at the location, provide quality phone service, and respond to inquiries regarding billing and scheduling. Regarding Inventory Productivity, the Maintenance Coordinator will oversee inventory management at the branch to ensure timely service support while minimizing the risk of inventory loss. This includes maintaining optimal inventory levels by ordering parts according to established procedures, ensuring defect-free and on-time deliveries from suppliers, and organizing parts for easy access. The coordinator will also manage battery inventory and ensure that tires are available in the correct quantities and specifications. Warranty items must be shipped and received on time, with follow-ups on returns and warranty claims in partnership with the warranty department. The role also involves performing process analyses and reviews in areas such as inventory management, maintenance profitability, warranty campaigns, and repair order reviews. The Maintenance Coordinator will investigate issues that pose risks to profitability and recommend solutions. Utilizing systems like ServiceNet or AS400 will be necessary for understanding operational dynamics and driving process improvements. Other responsibilities may include projects and tasks assigned by the Branch Financial Manager and District Financial Manager.
