POSITION PURPOSE: To complete a variety of specialized duties that supports the operation of the Maintenance department in the Southern California Division. The duties of the Maintenance Coordinator focus on tasks and/work that are unique to the department and require knowledge and skills that are beyond the normal scope of department specialists.

Requirements

  • Education Level: High school graduate with some college or related technical school desirable.
  • Experience Level: 5+ years’ experience as an Administrative Asst. or Department Specialist preferably in a related department such as Maintenance, Construction or Real Estate is desired.
  • Strong written and verbal communication skills.
  • Strong computer skills including Word, Excel, Outlook, PowerPoint and Access
  • Be detail oriented, ability to organized, and strong analytical skills.

Nice To Haves

  • Familiarity with Company systems (portal, Maximo, mainframe) is preferred.

Responsibilities

  • Assists stores with routine and preventative maintenance services and calls. Helps stores with all related issues including billing, dispute resolution and maintenance of approved vendor lists.
  • Provides general administrative support to the Maintenance Manager and Maintenance Specialists.
  • Maintains complex records related to maintenance and repair work.
  • Responds to inquiries in area of responsibility including routine correspondence to service providers (e.g. – warranty letters, check requests, requisitions, etc.)
  • Collects and updates data and information and provides reports and basic analysis for the Maintenance Manager and Department. Checks information for accuracy.
  • Answers department phones as needed and routes to appropriate area.
  • Reviews information/data and makes decisions within very defined guidelines, parameters, and instruction.
  • Examines and prioritizes documents to determine work to be completed or best course of action.
  • Sorts, files and maintains invoices, receipts, contracts, or other special department documents.
  • Creates and maintains unit documents such as ledgers, financial records, service information, emergency contact information, vendor insurance files, procedure manuals, etc.
  • Acts as a resource to staff in work group and performs other related functions and duties as assigned.
