The Cypress is recruiting for a hospitality focused Maintenance Coordinator to work full-time, Mon-Fri, 8a - 4:30p. This role is responsible for coordinating and expediting the transportation and maintenance systems and operations in an exemplary manner so that services are provided in an expeditious and courteous manner.

  • Receives maintenance and transportation calls, communications, or special requests from members, guests, or staff and takes messages, creates work orders, or dispatches maintenance and transportation personnel as needed.
  • Maintains software program and initiates work orders for maintenance and transportation personnel or refers to other departments.
  • Schedules drivers and maintains constant communications to coordinate all transportation needs.
  • Coordinates the distribution of memos and notices to Members.
  • Continually maintains up-to-date record of all work orders in maintenance program and distributes jobs to plant services personnel.
  • Collects and maintains department records such as visitor logs, guard reports, company vehicle logs, inventories, and routine maintenance logs.
  • Assists with clerical responsibilities such as filing, letter/memo/posting writing, and data processing as requested.
  • Serves as back-up driver as needed to provide for special requests, additional coverage, or immediate needs.
  • At least one year of work order experience and/or Office Administration experience required.
  • High School diploma, GED, or equivalent is required.
  • Proficiency in Microsoft Word, Excel, PowerPoint and other various systems applications.
  • Knowledge of work order system platforms is required. Experience with WorxHub is preferred.
  • Must demonstrate good planning and organizational skills.
  • Ability to manage several projects simultaneously while working under pressure to meet deadlines.
  • Must be at least 18 years or older and have a valid driver license and maintain a 'clean' driving record.
  • Will be required to drive company vehicle, including golf carts.
  • Comprehensive knowledge of administrative functions including office equipment.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Excellent organizational skills and attention to detail.
  • Ability to thrive in a fast-paced, rapid growth environment with agility and flexibility.
  • Proven ability to work effectively in a team environment.
  • Must be able to effectively communicate, read, write, and follow oral and written instructions in English.
