Position Summary The Maintenance and Fleet Manager is responsible for overseeing the maintenance, safety, and operational readiness of the organization’s buildings, vehicles, and physical assets. This role provides strategic and hands-on leadership for facilities maintenance, fleet management, and workplace safety programs to ensure a safe, compliant, and efficient operating environment. The position partners closely with Operations, Transportation, and Executive Leadership to support service continuity and risk mitigation.

Requirements

  • Bachelor’s degree in facilities management, engineering, construction management, safety, or a related field preferred.
  • Minimum of five (5) years of progressive experience in facilities, fleet, maintenance, or safety management.
  • Strong knowledge of facilities operations, maintenance systems, and safety practices.
  • Working knowledge of fleet and vehicle maintenance programs.
  • Ability to manage budgets, vendors, and multiple projects simultaneously.
  • Strong leadership, organizational, and problem-solving skills.
  • Ability to exercise sound judgment and respond effectively in emergency situations.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office and maintenance or asset management systems.

Nice To Haves

  • Experience in transportation, public sector, or non-profit environments preferred.
  • Relevant certifications (OSHA, safety management, facilities management) are a plus.

Responsibilities

  • Oversee maintenance, repair, and overall condition of all organizational buildings, offices, and physical facilities.
  • Develop and implement preventative maintenance programs for buildings, systems, and equipment.
  • Coordinate and supervise vendors, contractors, and service providers for facilities-related work.
  • Ensure facilities meet applicable safety, accessibility, and regulatory requirements.
  • Manage facilities-related projects, including renovations, repairs, and space planning initiatives.
  • Oversee the maintenance, safety, and readiness of all organizational vehicles.
  • Establish and manage preventative maintenance schedules for fleet vehicles.
  • Coordinate vehicle repairs, inspections, warranties, and vendor services.
  • Monitor fleet utilization, downtime, and maintenance costs.
  • Partner with Transportation leadership to ensure vehicles meet operational and regulatory standards.
  • Develop, implement, and oversee the organization’s safety programs, policies, and procedures.
  • Ensure compliance with applicable OSHA, DOT, and other workplace safety regulations.
  • Conduct safety inspections, risk assessments, and corrective action planning.
  • Lead safety training initiatives and support incident prevention efforts.
  • Participate in accident and incident investigations related to facilities, vehicles, or workplace safety.
  • Prepare and manage budgets related to facilities, fleet, and safety programs.
  • Monitor expenses and identify cost-saving opportunities while maintaining safety and service quality.
  • Recommend capital improvements, equipment purchases, and vendor contracts.
  • Supervise maintenance personnel and/or contractors as assigned.
  • Partner with Transportation, Operations, and Human Resources on staffing, training, and compliance initiatives.
  • Provide regular reporting to executive leadership on facilities condition, fleet readiness, and safety metrics.
  • Perform other projects and duties as assigned.
