The Maintenance & Calibration Planner is responsible for coordinating and administratively supporting the facility-wide calibration program while also planning and tracking preventive maintenance activities for production equipment. This role ensures calibration and maintenance work is properly scheduled, documented, reviewed, and closed in compliance with company procedures and applicable quality standards. The position also supports quality systems through assistance with deviations, CAPAs, and SOP updates related to equipment and calibration activities. Requirements

  • 3+ years of experience supporting calibration programs, maintenance planning, or equipment management in a manufacturing environment.
  • Experience working with CMMS or calibration management systems.
  • Ability to review and approve calibration records and work orders.
  • Familiarity with deviation investigations and CAPA processes.
  • Experience supporting SOP development and controlled documentation updates.
  • Strong organizational and scheduling skills with high attention to detail.
  • Ability to coordinate across maintenance, engineering, quality, and production teams.

Nice To Haves

  • Experience supporting calibration programs in pharmaceutical, biotechnology, or medical device manufacturing.
  • Knowledge of calibration standards such as ISO 17025 or ISO 9001.
  • Experience coordinating external calibration vendors and service providers.
  • Familiarity with instrument management, metrology, or measurement systems.

Responsibilities

  • Coordinate the facility-wide calibration schedule and production preventative maintenance schedule to ensure all instruments are calibrated within required intervals.
  • Maintain and manage calibration and maintenance records and documentation within the CMMS or calibration management system.
  • Review and approve completed calibration and maintenance work orders and records for accuracy, completeness, and compliance.
  • Track and follow up on open calibration and maintenance work orders to ensure timely completion and closure.
  • Coordinate with internal technicians and third-party calibration vendors to schedule calibration and maintenance activities.
  • Ensure calibration documentation maintains traceability to recognized standards such as National Institute of Standards and Technology where applicable.
  • Assist with investigations and documentation for out-of-tolerance calibration findings, including deviation support.
  • Support CAPA implementation and tracking related to calibration or equipment issues.
  • Assist with creation and revision of SOPs and work instructions related to calibration and maintenance processes.
  • Support internal audits, external audits, and regulatory inspections related to calibration and maintenance programs.
  • Plan and track preventive maintenance activities for production equipment.
  • Maintain and manage maintenance work orders within the CMMS.
  • Prepare and kit parts and materials required for preventive maintenance activities.
  • Provide administrative coordination and documentation support for maintenance and calibration programs.
