The Maintenance Administrator is responsible for coordinating and supporting daily maintenance operations with efficiency, accuracy, and professionalism. This role serves as the primary point of contact for residents regarding maintenance-related matters and acts as a liaison between the Maintenance Department and office staff. The ideal candidate will consistently provide a welcoming, courteous experience to residents, vendors, and contractors while maintaining a polished and professional appearance and demeanor.

Responsibilities

  • Deliver outstanding customer service to residents, prospects, vendors, and contractors.
  • Address resident concerns and maintenance-related complaints promptly and professionally.
  • Foster a positive, friendly, and professional office environment.
  • Respond to maintenance-related inquiries or direct residents to the appropriate team member or department.
  • Support the Service Manager(s) with scheduling vendors and contractors for repairs, ensuring proper follow-up and documentation.
  • Guide residents to appropriate resources when needed.
  • Answer and respond to phone calls from residents and other departments to maintain clear and consistent communication.
  • Dispatch service requests to technicians based on urgency and priority, including requests submitted through the resident portal or other internal channels.
  • Proactively suggest ideas to improve resident satisfaction and streamline workflow processes.
  • Ensure compliance with Fair Housing regulations in all interactions.
  • Follow up with residents regarding work order status, scheduling updates, and satisfaction with completed service requests.
  • Maintain reliable attendance and punctuality.
  • Perform other duties as assigned.
  • Adapt to evolving community needs, as this role may expand to include additional responsibilities over time.
