Requirements

  • High school diploma or equivalent.
  • Prior experience in mailroom, production or back office, especially in insurance or healthcare setting.
  • Prior experience as a document processor or working with Medical Records.
  • Demonstrates the ability to work in an organized, efficient and process-oriented manner.
  • Strong oral and written communication skills and the ability to problem solve.
  • Ability to transition from one task to another, while maintaining attention to detail.
  • Proficient in Microsoft Office, emphasis with Excel and Outlook.
  • Comfortable working in a high-volume, fast-paced environment either with a team or individually.
  • Comfortable using various types of office equipment and software programs.

  • Prior Insurance or Healthcare experience.

Responsibilities

  • Accepting mail, logging mail and matching mail to record retrieval order.
  • Prepared and coordinate facility packets for mail.
  • Sorting and scanning documents.
  • Open, review and sort incoming mail received from Custodian of Records/Providers, Court Systems, Opposing Counsels and Clients.
  • Accurately log in mail, review and identify content and match to a record retrieval order.
  • Prepare paper medical records and other healthcare related correspondence for scanning.
  • Review, prepare and process incoming electronic records received via e-fax, email, CD, SFTP, web portal.
  • Scan invoices and payment checks and attached to portal.
  • Monitor email accounts and respond to inquiries from internal Operations teams.
  • Operate postage meter, inserter, scanner, printers.
  • Generate, Review, and prepare files of outgoing letters to Providers on a daily basis.
  • Maintain tracking of all outgoing letters using Excel spreadsheets.
  • Review and process return mail.
  • Meet quality and productivity standards as indicated by service level.
  • Comply with HIPAA and other regulations regarding confidentiality of information.
  • Organize pages received and scan using printer and scanner.
  • Review scan to ensure pages are uploaded and readable.
  • Organize and archive physical documents.
  • Shred documents daily, weekly and monthly as defined by procedures.
