About The Position

The Mailroom Associate is responsible for the efficient handling, processing, and distribution of all incoming and outgoing mail, packages, and office supplies within a corporate environment. This role requires excellent attention to detail, strong organizational skills, and a customer service mindset to support the day-to-day operations of the facility. Overall, this position continuously offers the highest level of service to all client and SPS employees while maintaining a professional image of the company by providing prompt, courteous and efficient service.

Requirements

  • Strong verbal and written communication skills.
  • Excellent customer service skills.
  • PC skills MS Office Suite experience.
  • Ability to handle multiple tasks simultaneously.
  • Good organizational skills.
  • Working knowledge of MFD equipment.
  • Requires knowledge and understanding of shipping/receiving procedures and ability to comprehend instructions.
  • Possesses ability to work independently and capable of completing projects.
  • Ability to determine correct method and packing material as well as validate packing slips for accuracy of incoming and outgoing materials.
  • Highschool Diploma or equivalent
  • 2+ years experience in a corporate mailroom or facilities environment.
  • Strong customer service skills with a professional demeanor.
  • Proficient in Microsoft Office, Outlook, Teams, and standard mailroom software or tracking tools.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong attention to detail and accuracy.
  • Team-oriented with excellent communication skills.
  • Ability to lift up to 50 pounds and stand for extended periods.

Responsibilities

  • Receive, sort, and distribute all incoming mail, packages, and interoffice correspondence in a timely manner.
  • Prepare, package, and process all outgoing mail and shipments using USPS, UPS, FedEx, and other courier services.
  • Maintain accurate tracking logs for packages and deliveries.
  • Operate mailroom equipment, including postage meters, label printers, copiers, and scanners.
  • Monitor and maintain inventory of office supplies, restocking supply closets and distribution points as needed.
  • Assist with conference room setups, office moves, and other facilities support duties when required.
  • Provide exceptional customer service to employees, visitors, and vendors.
  • Ensure compliance with company policies and security procedures for handling confidential documents and packages.
  • Maintain a clean, organized, and safe work area at all times.
  • Perform other duties as assigned by management.
