About The Position

We’re hiring a Mailroom Assistant to join our Rock Island, IL team. The Mailroom Assistant will be responsible for overall mailroom operations including processing incoming and outgoing mail, shipments, inventory management and vendor reconciliation. This role also provides reception coverage, answering phones, greeting visitors and supporting Corporate Service Group administrative tasks. Principal Responsibilities Prepare and process mailings, transmittals, and shipping (USPS, UPS, FedEx, couriers) Sort and distribute all incoming mail and packages across two office locations Maintain inventory of all shipping and office supplies and order replenishments Reconcile vendor monthly statements and support shipping account management Perform administrative duties to support mailroom processes and the Corporate Service Group such as meeting arrangements, business card ordering and travel coordination Provide reception coverage including answering and directing incoming calls, greeting visitors and providing a positive first impression of the company Maintain confidentiality of project/client, corporate and employee matters Other Duties as assigned

Requirements

  • Strong verbal and written communication skills
  • Proficient in Microsoft Office Suite or related software
  • Excellent organizational skills and attention to detail
  • Self-motivated, flexible and ability to prioritize
  • Perform well in a fast-paced environment
  • Strong organizational and customer service skills
  • Proficient in Microsoft and MS Office Suite including but not limited to Word, Excel, and Outlook
  • High School Diploma or equivalent required
  • Must have reliable vehicle, valid driver’s license, and insurance.
  • Must be comfortable using personal vehicle daily to support mailroom tasks.

Nice To Haves

  • Associate’s Degree or Certificate preferred
  • Prior administrative or mailroom experience is preferred.
