We’re looking for a Mail Services Specialist to be part of our busy Mail Center team. It’s a fast-paced job that requires someone who is focused, accurate, and comfortable working under deadline pressure. The reward: You’ll be exposed to every part of SAIF’s business, from claims processing to payroll reports. And who knows where you might go from there? SAIF’s Mail Center handles more than 4,000 items a day. To get it all sorted and delivered requires a team of seven people working closely together. Attention to detail is extremely important. Injured workers and their families, policyholders, and providers all rely on us to get their paperwork processed on time. As a Mail Services Specialist, you’ll stay active throughout the day while performing a wide range of duties. Your responsibilities include sorting, batching, and distributing incoming and outgoing mail; navigating campus with a mail cart to deliver items to each division; and preparing high-volume mail in accordance with USPS, UPS, and FedEx requirements. You’ll operate and maintain a variety of mailroom equipment—including slicers, folder-inserters, metering systems, printers, and online mailing tools—while ensuring accuracy and quality at every step. The role also involves lifting and moving heavy bins and boxes and operating a fleet vehicle. Requirements

  • One year of general clerical experience.
  • A high school diploma or equivalent.

Responsibilities

  • Sort and distribute incoming and outgoing mail according to established procedures.
  • Sort and batch incoming mail, prioritizing and identifying documents.
  • Process documents according to guidelines.
  • Load mail onto carts and deliver to assigned locations.
  • Prepare high volume of outgoing mail, ensuring deadlines and USPS, UPS, and FedEx regulations are met.
  • Operate various mail room equipment including slicers, folders, computerized mail metering machines, scales, and high-capacity printers according to written procedures.
  • Monitor bulk print to ensure accurate print quantity and quality.
  • Research missing claim or policy information on incoming paper and electronic mail by utilizing in-house computer applications.
  • Prepare correspondence and return any records missing claim numbers to providers according to established procedures.
  • Communicate professionally with internal and external customers via phone and electronically in response to inquiries.
  • Transfer calls as needed to the appropriate person.
  • Research address information on outgoing mail to make corrections as necessary and notify sender of corrected address.
  • Process check mailings, pairing them with related attachments printed from online applications, according to established procedures.
  • Presort and batch outgoing items and select most cost-effective delivery means.
  • Prepare bulk printed correspondence for mailing by inserting folded documents into envelopes with relevant inserts, either manually or by machine.
  • Process certified mail through computerized web-based program.
  • Respond to requests for check-pulls, information, and expedited correspondences.
  • Maintain postage meter reserves by monitoring balances, completing control logs, and replenishing postage as needed.
  • Monitor and perform routine maintenance for the mailroom equipment to ensure continued processing efficiency.
  • Refer problems to the supervisor or the Information Services Division as required.

  • Work effectively with others who have different perspectives, backgrounds, and/or work styles.
  • Drive shuttle for delivery and pick up of mail.
  • Perform other duties as assigned by management to support team objectives and organizational goals, demonstrating flexibility and adaptability in responding to evolving priorities and needs.
