About The Position

As a CBRE Mail Services Associate, you will be responsible for all aspects of mailroom operations for an 8-story commercial office building in Englewood, CO. This pivotal role within our Office Operations function ensures the efficient and accurate handling of all incoming and outgoing mail and packages, directly supporting client and business functions. The successful candidate will demonstrate meticulous attention to detail, exceptional customer service acumen, and a proactive approach to supporting broader administrative duties through cross-training. This job is part of the Office Operations function. They are responsible for providing office support to a client, business function or individual contributor.

Requirements

  • High School Diploma or GED with 2-4 years of job-related experience.
  • Ability to write routine reports and correspondence.
  • A comprehensive understanding of a range of processes, procedures, systems, and concepts within own job function is required.
  • Ability to evaluate and communicate unusual and/or complex content in a concise and logical way.
  • In-depth knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
  • Advanced organizational skills with an inquisitive mindset.
  • Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future.

Responsibilities

  • Operate and maintain comprehensive mailroom functions, including precise sorting and distribution of mail to designated recipients.
  • Oversee all shipping and receiving processes for packages and correspondence, ensuring timely and secure delivery.
  • Utilize postage machines accurately and ensure correct postage application for all outgoing items.
  • Receive, scan, and meticulously log packages using the SC Logic system and RF scanner, maintaining accurate transaction records.
  • Conduct thorough audits of delivered items against invoices, approving or rejecting deliveries based on inspection and contraband checks.
  • Guarantee same-day delivery for all received packages or promptly advise consignees of next-day arrival.
  • Safeguard all shipped packages against damage throughout the handling process.
  • Process shipment requests with vendors, effectively communicating arrangements to package owners.
  • Apply appropriate postage and required identification to all outgoing mail and packages.
  • Manage the scheduled delivery of mail, packages, copy products, and stationery to assigned groups and locations.
  • Stock and maintain copy rooms, serving as the primary point of contact for initial copier fleet production inquiries.
  • Regularly monitor and replenish mail and postage supplies to ensure uninterrupted operations.
  • Cross-train to provide essential support for front desk duties as needed, demonstrating adaptability and teamwork.
  • Deliver exceptional customer service and support to both internal and external clients, addressing inquiries and complaints professionally.
  • Gather and analyze data to identify and resolve complex operational issues, often in situations without established precedents.
  • Propose innovative techniques and process improvements to enhance team efficiency and effectiveness.
