About The Position

A Mail & Distribution Services Technician is needed to support high‑volume mailing operations, document handling, and shipping/receiving activities. This role involves operating automated mail equipment, preparing materials for distribution, maintaining logs, and ensuring accurate processing of incoming and outgoing mail. The position requires strong attention to detail, reliability, and the ability to work independently in a fast‑paced environment.

Requirements

  • Ability to lift and move up to 50 pounds.
  • Ability to read, write, and follow written instructions.
  • Intermediate computer skills, including downloading files, completing online forms, and performing mail merges.
  • Proficiency with word‑processing, spreadsheet, and presentation software (tables, charts, formulas, formatting).
  • Basic understanding of networks, such as locating shared drives or printers.
  • Ability to operate mailroom equipment after training.
  • Strong customer service and communication skills.
  • Ability to multitask and work with minimal supervision.
  • Accurate data entry and record‑keeping abilities.
  • Ability to estimate and schedule mailing jobs and understand workflow requirements.
  • Capability to train and mentor coworkers when needed.
  • 1–2 years of experience working with mail procedures or operating mail equipment preferred.
  • High school diploma or equivalent required.
  • Education verification may be required.

Responsibilities

  • Operate high‑speed mail equipment, including inserters, sorters, and finishing machines.
  • Perform labeling, mail merge tasks, and address cleanup using internal systems.
  • Coordinate automated and manual processes for preparing and distributing materials.
  • Conduct quality checks on all outbound mail to ensure accuracy and compliance.
  • Manage electronic input, packaging, and posting activities in high‑volume workflows.
  • Prepare mail and packages for external shipment and coordinate pickups and deliveries.
  • Track, trace, and resolve mail issues with delivery services as needed.
  • Receive, sort, and process incoming mail, packages, and supplies; notify recipients.
  • Deliver and pick up mail on scheduled routes.
  • Log and process accountable mail and maintain accurate tracking records.
  • Perform electronic mail distribution, including opening, scanning, and routing documents.
  • Handle fulfillment tasks such as assembling, packaging, and shipping kitted materials.
  • Operate, clean, and maintain all mailroom and shipping equipment.
  • Perform basic operator maintenance and contact service providers when needed.
  • Use material‑handling equipment when required.
  • Complete shipping forms and enter data into electronic systems.
  • Maintain distribution logs, postage records, and reporting information.
  • Monitor and replenish supplies related to mailing and distribution activities.
  • Recommend workflow improvements to enhance efficiency and reduce costs.
  • Provide basic training and support to other team members.
