The Mail & Copy Center Clerk at Roger Williams University plays a crucial role in the daily operations of the university's mail services. This part-time position involves a variety of responsibilities centered around the processing, sorting, and delivery of incoming and outgoing mail and packages. The clerk will work independently, especially when the manager is not present, ensuring that all mail services run smoothly and efficiently. This includes handling mail through various carriers such as the US Postal Service, UPS, and other express courier services. In addition to mail processing, the clerk is responsible for sorting departmental and interoffice mail, as well as distributing student mail to designated mailboxes located in the Dining Commons. The role also requires tagging and storing student mail packages, addressing student inquiries regarding mail, and assisting in resolving any mail-related issues. The clerk will operate mail and copy equipment, maintaining necessary supplies such as paper, toner, ink, and labels to ensure that all equipment is functional and ready for use. Another key aspect of the position is inventory management, where the clerk will maintain an accurate inventory of university supplies, forms, packaging products, and copier paper/toner for departmental use. The clerk will also receive and classify incoming copy jobs, determining whether they should be processed in-house or sent to an outside vendor. For internal jobs, the clerk must assess customer requirements regarding colors, paper types, and machine settings to produce jobs in a cost-effective manner while minimizing rework. Additionally, the clerk will sort copy jobs produced by outside vendors for internal delivery or pick-up, complete daily shipping clarification and billing reports, reconcile a daily postage log, and respond to telephone inquiries related to the Mail & Copy Center.
