The Logistics Coordinator position is a full-time, non-exempt position reporting to the Director of Special Events. The Logistics Coordinator oversees campus event setups, manages work-study student staff, and coordinates the upkeep and distribution of event resources. As such, candidates must understand, believe and actively contribute to accomplishing the mission and vision of the Event Services department. The Logistics Coordinator builds strong relationships with campus event planners, coordinates event setup details, and ensures event spaces and resources are prepared with excellence. The role requires exceptional attention to detail, strong organizational skills, and consistent stewardship of campus facilities and event assets throughout the academic year.   • Hire student employees for the Event Assistant (EA) team; lead team trainings to educate and to build rapport among team members.
  • Manage EA Work-Study student employees, ensuring efficient event turnovers and smooth equipment setup across campus.
  • Coordinate with EA Student Captains to facilitate daily event setups.
  • Manage event setup details in 25Live, providing timelines and logistical direction for EA student managers.
  • Track requests and set-up needs for future events via 25Live and a service ticket system.
  • Approve timecards and maintain consistent communication with student managers and team members.
  • Exemplify and maintain the culture and structure of the EA team while seeking new ways to improve communication and work rhythms.
  • Implement proactive and responsive problem-solving skills within the EA team.
  • Create service desk tickets and communicate with clients about further information regarding resources, best practices, and CCU policies through Service Desk tickets.
  • Coordinate with AV and catering teams to ensure timely setup of all event equipment.
  • Design and create floor plan models for event spaces.
  • Work with multiple departments and external clients to create diagrams and meet their event needs.
  • Manage event resources in major event spaces (repair equipment, contact third-party professionals, update resources as necessary, etc.)
  • Upkeep and maintain the University's event equipment.
  • Learn and implement new strategies for events as requested using industry standards.
  • Catalog and maintain EA inventory in 25Live in coordination with the Event Service Specialist.
  • Conduct safety & basic training for EA equipment for student leaders and staff.
  • Participate in and actively contribute towards Event Services major campus events, professional development and training opportunities throughout the year including staff meetings, one-on-ones.
  • Strong customer service and communication skills.
  • A positive and enthusiastic attitude to learn new strategies for process improvement.
  • Adaptability to work in a high pressure, fast paced, and changing environment.
  • Ability to respond in a timely manner to questions and inquiries via email, telephone or the work order system.

  • Flexibility to work early mornings, evenings, and weekends as events require.
  • Working knowledge of event floorplan design software (preferred).
