About The Position

This position is responsible for executing office operations activities and providing day-to-day support to ensure the location runs efficiently. The role involves heavy interaction with building management, vendors, and both internal and external clients. The individual will assist the Location Services Manager or Supervisor in maintaining a safe, clean, and well-maintained environment, while also coaching Location Services staff and providing expertise to prevent building system failures. The position may require acting in the absence of the Location Services Manager or Supervisor.

Requirements

  • High school diploma required.
  • 3 to 5 years' experience in a related field or area.
  • Ability to communicate effectively with diverse audiences, both verbally and in writing.
  • Advanced Microsoft Office skills, including Word, Excel, and PowerPoint.
  • Strong grammar and proofreading skills.
  • Ability to manage multiple tasks and projects effectively.
  • Basic to intermediate knowledge of lighting, HVAC, and plumbing systems.
  • Ability to lift up to 40 lbs and stand for extended periods.

Responsibilities

  • Execute office operations activities under minimal to no direction.
  • Interact with building management, vendors, internal and external clients.
  • Assist the Location Services Manager or Supervisor in maintaining a safe and clean location.
  • Coach Location Services staff and provide expertise to avoid building system failures.
  • Perform daily operations including answering multi-line phones, greeting visitors, and directing calls.
  • Assist with administrative tasks, including creating intermediate to advanced documents in Word, Excel, and PowerPoint.
  • Plan and execute Location Services projects such as moves, repairs, and event coordination.
  • Conduct daily walk-throughs to identify maintenance issues and follow up accordingly.
  • Coordinate with vendors and building management on life/safety and repair items.
  • Streamline and improve inefficient processes related to inventory management.
  • Maintain vendor relationships and process payments while tracking budget spend.
  • Investigate cost-efficient upgrades or replacements for failed building systems.
  • Provide routine direction in mail services, photocopying, and client file management.
  • Manage visitor reception activities and ensure quality customer service.
  • Coordinate meetings and events, including catering and audio-visual support.
  • Manage building card access systems and ensure security protocols are followed.
