About The Position

Position acts as the first point of contact in the Commercial Loan department, performing reception and clerical duties, providing administrative support, and representing the bank professionally when interacting with customers. Position will have extensive contact with customers, vendors, the public, and bank staff, and will interact in a professional and courteous manner.

Requirements

  • A high school diploma or GED is required.
  • Six months to one year of similar or related experience.
  • Must possess current, valid driver’s license.
  • Must possess or be able to obtain notary.
  • Working knowledge of standard office equipment. Basic computer skills with working knowledge or ability to learn various office software including word processing, spreadsheets, 10-key, and general computer applications.

  • Must be able to routinely perform work indoors in climate-controlled shared work area with moderate noise. Must be capable of occasional travel (less than 10 days per year) by automobile (as driver and passenger), commercial airlines, rental vehicles and public transportation and be able to lodge in public facilities.
  • While performing the duties of this job, the employee is often required to: sit; use hands in repetitive motions to finger, grasp, handle or feel; and talk or hear. The employee is occasionally required to: stand; walk; and lift or reach with hands and arms. The employee may also be required to: climb, balance, stoop, kneel, crouch, crawl, push, and pull.
  • Must be able to operate routine office equipment including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable and timely attendance. Must be capable of climbing / descending stairs in an emergency situation.
  • Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body.
  • The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation/inspection of machines and/or using measurement devices at distances close to the eyes.

Responsibilities

  • Perform clerical duties and provide administrative support to work unit.
  • Greet and assist customers and visitors who enter the department, direct customers to the appropriate officer, staff personnel, or department.
  • Receive and route incoming department calls appropriately as needed.
  • Review and route incoming mail in a timely manner to appropriate personnel in the department. File mail that has been processed and reviewed, and route information to other departments as needed.
  • Process and scan insurance renewals and cancellations, loan documents, and other documents as needed. Enter and maintain collateral tracking in nCino and Jack Henry as applicable.
  • Track and order force placed insurance when applicable.
  • Process Paid Notes and maintain Paid Note spreadsheet. File loan documents, loan files, and correspondence including letters, memoranda, and various forms and reports – these can be in both paper and electronic formats.
  • Assist with Annual Note Audit.
  • Maintain tracking for flooring lines, work with loan servicing on flooring line billing statements.
  • Must comply with all company policies and procedures and all applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control. Maintain strict confidentiality of customer’s personal and financial information.
  • Develop and improve skills through training programs and regular feedback discussions with supervisors which help further professional development. Participate in all training sessions and complete all assigned OnCourse training courses and achieve a passing score by due date.
