About The Position

The Sales Coordinator at Brooklyn Bowl Nashville plays a crucial role in supporting the Sales Team and ensuring smooth operations within the venue. This position involves a variety of administrative tasks, client interactions, and event coordination, all aimed at enhancing the overall guest experience and contributing to the growth of the business. Requirements

  • Minimum 2 years of office administrative experience, preferably in hospitality.
  • Excellent communication skills, including phone etiquette and email correspondence.
  • Strong time management skills and ability to multitask while maintaining attention to detail.
  • Ability to handle client requests professionally and develop positive working relationships with all venue departments.
  • Proficient in Microsoft Office, Google Docs, Excel, and Google Sheets.
  • Experience with sales tracking software is preferred.
  • Flexible schedule to accommodate nights and weekends as needed.
  • Strong work ethic, including attendance and quality of work.

Nice To Haves

  • Experience in event planning or coordination.
  • Familiarity with catering and event management software.

Responsibilities

  • Answer phones and respond to client inquiries.
  • Conduct site visits as needed for potential clients.
  • Mail sales packages and maintain organized files.
  • Prepare client gifts and generate contracts, SEOs, invoices, and thank you emails for sales manager approval.
  • Input event bookings into reservation and catering sheets and communicate with all departments post-booking.
  • Prospect potential clients and keep the Sales office organized.
  • Assist with updating and pulling reports in various systems including Tripleseat, Caterease, Clover, and TM1.
  • Create menu cards and other necessary tools for events.
  • Attend meetings and training sessions as required.
  • Serve as a liaison between Sales management and clients.
  • Act as the onsite contact for events as needed.
  • Prepare Special Event Order packets for Production meetings.
  • Update all tentative and prospective events and manage deposits, routing to Finance and sending copies to clients.
