The Personal Assistant | House Manager will primarily support the Mrs. in a live-in capacity, managing household operations and ensuring the smooth running of the family's daily life. This role requires a proactive, tech-savvy individual who can handle various tasks, from managing household maintenance to assisting with event planning and travel arrangements. The position offers a beautiful one-bedroom apartment and is ideal for someone who thrives on autonomy and has a strong attention to detail.

Requirements

  • Bachelor's degree
  • 5+ years working as a Personal Assistant with some house management duties
  • Previous private service experience
  • Strong technology and troubleshooting skills, including proficiency in Apple products, Google/Microsoft Suite, Canva/Photoshop, and digital file management
  • Interest in food, gardening, and entertaining
  • Experience with bills and invoicing
  • Confidence in managing a landscaping team
  • Fully vaccinated and a non-smoker
  • Spanish comprehension is a plus
  • A strong familiarity with the Bay Area

Responsibilities

  • Managing all aspects of the main residence's maintenance, including vendor relationships.
  • Overseeing property managers for vacation homes and assisting with family visits.
  • Maintaining and updating estate manuals for each property.
  • Managing the family's calendar and coordinating with the Mr.'s Executive Assistant.
  • Arranging family travel and collaborating with the Mr.'s EA when trips overlap with corporate needs.
  • Assisting the Mrs. with event planning and entertaining, including invitations, guest lists, RSVPs, and vendor coordination.
  • Handling email and digital file management, including downloading, scanning, and organizing.
  • Working with family accountants on house-related expenses and billing.
  • Maintaining and troubleshooting household technology, including iMacs, iPads, iPhones, Wi-Fi systems, printers, security cameras, alarm systems, and Sonos speakers.
  • Booking appointments, making reservations, and managing subscriptions.
  • Running errands, such as grocery shopping, dry cleaning, and mail drops.
  • Light food prep and assistance with meal planning.
