About The Position

Ogletree Deakins has the opportunity for an experienced Case Manager to join the Firm’s Litigation Support department. The position is the primary point of contact between the Litigation Support Department and case teams working on matters involving electronic discovery. The Case Manager acts as consultant to attorneys regarding eDiscovery technology strategy per matter, proposes approaches for handling data during the various phases of electronic discovery, oversees data handling workflow with managed services, and provides case team training and support. Case Managers use the firm’s managed data services resources and standard workflows to design and implement electronic discovery technology solutions for litigation matters in their designated region.

Requirements

  • 5+ years of experience in a litigation support project manager or similar role at a large law firm or electronic discovery vendor, including at least two years of hands-on Relativity administrative experience
  • In-depth understanding of the phases of electronic discovery, from information governance and client pre-litigation preparedness through production and trial.
  • In-depth, hands-on experience in the use and administration of Relativity, including Relativity analytics features.
  • Proficiency in litigation support applications in general and general business software such as Windows, various web browsers, Outlook, and Microsoft Office applications.
  • Excellent interpersonal skills to ensure effective communication with clients, vendors, attorneys, and co-workers, verbally and in writing.
  • Strong organizational, planning, follow-through, and project management skills with the ability to multitask and prioritize tasks across multiple projects.
  • Ability to field multiple incoming inquiries, respond in a timely manner to acknowledge receipt, and follow up with next steps. The goal is for all requests or inquiries to receive an initial acknowledgment response in less than 2 hours, with any necessary follow-up in due course to close out the request.

Responsibilities

  • Determine the nature and parameters of the matter at the onset of the work and serve as a strategic consultant/advisor for clients, attorneys, and staff for the application of electronic discovery technology and methodologies.
  • Develop and maintain general knowledge of current industry-standard ediscovery preservation and collection tools and platforms, such as forensic resources, Microsoft O365 capabilities, Google Vault, Cellebrite, etc.
  • Develop and provide cost estimates for data preservation, collection, and processing to attorneys, and ensure attorneys understand the nature of the estimate and services included.
  • Implement appropriate quality assurance procedures to verify completeness of managed services processes and deliverables, for example, analysis of data exception reports and record counts.
  • Provide consultation to attorneys on search strategies, syntax, and use of Relativity analytics; coordinate and review search result sampling and analysis; discuss findings with attorneys.
  • Advise and support attorneys and staff on effective Relativity workflows for search, review, production, and other functions; oversee Relativity workspace management.
  • Oversee, coordinate, and track project progress and workflow from inception through trial; provide status reports.
  • Provide end-user Relativity training.
  • Follow firm procedures for billing time; work with attorneys to adjust time descriptions to meet any client-specific requirements.
  • Ensure billable time is entered correctly, pursuant to firm guidelines: generally entered daily, or no later than COB of Monday the following week.
  • Review their assigned matters on the monthly Relativity Billing Spreadsheet for accuracy, and submit with changes or comments by or before the due date each month. Review transactional work invoices for accuracy and clear for payment prior to due dates.
  • Follow Litigation Support Department guidelines and best practices.
  • Perform other related duties as assigned.
