About The Position

Tucker Ellis LLP is seeking an experienced Litigation Secretary Floater / Administrative Assistant to join our Los Angeles office. This position is fully onsite, five days per week, and will provide floater coverage, overflow document support, and administrative assistance to attorneys and paralegals across litigation practice groups. The ideal candidate is a team player with strong litigation experience who thrives in a fast-paced environment and can adapt quickly to shifting priorities.

Requirements

  • Minimum of five years of heavy litigation legal secretarial experience
  • Strong knowledge of California and Federal court rules, procedures, and filing requirements
  • Experience with ECF filings, File & ServeXpress, and court filing procedures
  • Advanced proficiency in Microsoft Word, including TOA and TOC creation, bookmarking, and document styling
  • Experience entering attorney time, preparing expense reports, and submitting invoices to Accounts Payable
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • Flexibility and ability to work collaboratively with attorneys and coworkers
  • Ability to work onsite in the Los Angeles office five days per week

Responsibilities

  • Provide legal secretarial floater coverage and administrative support to litigation attorneys and paralegals as needed
  • Handle overflow word processing and document production, including pleadings, motions, discovery, and correspondence
  • Prepare, edit, proofread, and finalize litigation documents in compliance with California and Federal court rules
  • Manage court filings, including ECF filings and File & ServeXpress submissions
  • Prepare tables of contents and tables of authorities, including bookmarking and document styling in Microsoft Word
  • Enter attorney time, prepare expense reports, and submit invoices to Accounts Payable
  • Perform general administrative duties, including greeting guests, reserving conference rooms, and monitoring and ordering office supplies
  • Maintain effective communication with attorneys, paralegals, and staff to ensure timely and accurate work product
