The Litigation Legal Assistant at Bullivant Houser is responsible for providing comprehensive support to attorneys in the casualty litigation and insurance practice areas. This role requires a minimum of five years of civil litigation experience and involves managing various legal documents, coordinating meetings, and ensuring compliance with court rules and procedures. The ideal candidate will demonstrate exceptional organizational skills, attention to detail, and strong communication abilities, while also being a reliable team player who can handle multiple priorities effectively.

  • Originate Word documents using the firm's software protocols; transcribe dictation and/or handwritten documents.
  • Prepare correspondence and legal documents such as summonses, complaints, motions, and subpoenas.
  • Handle editing, formatting, proofreading, and finalizing documents.
  • Open new client/matters including requesting conflict checks, preparing engagement letters, and entering party information into the CRM database.
  • Schedule and coordinate meeting details for attorneys, including client and internal meetings, video conferences, depositions, mediations, and arbitrations.
  • Follow established docketing procedures and cross-check dates in docketing software against attorneys' Outlook calendars for accuracy.
  • Timely submit vendor invoices, check requests, and expense reimbursements.
  • Maintain and organize all client/matter files, including both electronic and physical files.
  • Minimum five (5) years of experience working as a Litigation Legal Assistant.
  • Intricate knowledge of Oregon state, federal, and appellate court filing rules and procedures.
  • Solid knowledge of e-filing in various federal and state jurisdictions.
  • Strong communication skills, both written and verbal, with the ability to effectively interact with clients and colleagues.
  • Exceptional organizational skills, attention to detail, and proofreading skills.
  • Ability to work effectively under pressure and meet deadlines under competing priorities.
  • Ability to take an assignment from inception to completion with minimal supervision or by following broad guidelines.
  • Proficiency with Microsoft Office Suite, specifically with Microsoft Word and Microsoft Outlook.
  • Previous document management experience with NetDocuments is a plus, but not required.
  • Experience with Washington courts preferred but not required.
  • Proficiency with NetDocuments.
