About The Position

Position Summary: We are seeking a detail-oriented Legal Administrative Assistant to provide critical support to our attorneys. The ideal candidate will ensure smooth administrative operations, including document production, client communication, scheduling, and more. Key Responsibilities: Document Management: Prepare, proofread, and format legal documents with accuracy and attention to detail. File documents electronically and distribute correspondence effectively. Scheduling & Coordination: Manage calendars, schedule meetings, reserve conference rooms, and coordinate workflows to meet deadlines. Client Interaction: Serve as a professional and courteous liaison, answering calls, managing messages, and providing relevant information to clients and team members. Billing & Time Management: Assist with time entry, billing processes, and conflict checks. Manage billing files and process client payments. File Organization: Maintain and organize client files, case materials, and administrative documents following firm guidelines. Travel & Expense Management: Arrange travel schedules and process expense reimbursements for team members. Mail & Invoices: Handle incoming and outgoing mail, manage messenger services, and process vendor invoices promptly. Team Support: Provide backup administrative support to other attorneys as needed.

Requirements

  • Associate’s degree required; Bachelor’s degree preferred.
  • 1–2 years of administrative experience or related work.
  • Proficiency in Microsoft Office Suite.
  • Exceptional verbal and written communication skills.
  • Strong organizational abilities and attention to detail.
  • Ability to multitask effectively in a team-oriented environment.

Nice To Haves

  • 2–5 years of experience as a litigation legal secretary is preferred.
