About The Position

The Lighting Project Coordinator will play a key role in supporting the successful execution of lighting projects from initiation to closeout. The Lighting Project Coordinator will manage the administrative elements of the project lifecycle, ensuring seamless communication, accurate documentation, and timely completion of tasks.

Requirements

  • Minimum of 2 years of administrative or project support experience preferred.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, OneNote, Planner).
  • Intermediate or better understanding of standard office software, computers, and peripherals.
  • Excellent written and verbal communication skills.
  • Strong interpersonal and customer service skills.
  • Ability to prioritize and manage multiple tasks and deadlines.
  • Problem-solving mindset with attention to detail.
  • Self-motivated with a strong work ethic and positive attitude.
  • Demonstrated ability to work independently and collaboratively.

Nice To Haves

  • Familiarity with Solar Eclipse and Job Management systems is preferred.
  • Knowledge of lighting products and distribution is a plus.

Responsibilities

  • Serve as the main administrative contact between Project Managers, vendors, and customers throughout the project.
  • Set up projects in Solar Eclipse and Job Management systems, create hold-for-release purchase orders, maintain bills of materials, and generate sales orders.
  • Prepare and manage submittal documentation, ensuring timely communication and follow-up until final approval.
  • Coordinate final quotations with internal departments once submittal approvals are issued.
  • Work closely with internal stakeholders, manufacturers, and lighting agencies to facilitate successful project execution.
  • Process payables for assigned projects.
  • Respond to phone calls and emails related to active projects and ensure timely and accurate follow-up.
  • Maintain and strengthen customer relationships.
  • Analyze project reports to provide updates, identify issues, and support business decisions.
  • Provide backup support to Lighting Project Managers and the sales team, as needed.
  • Perform other related duties as assigned.
