About The Position

The Licensing Specialist is responsible for the day-to-day administration of insurance producer and agency licensing activities across multiple states in support of Novatae’s wholesale insurance operations. This role ensures accurate, timely processing of licenses, appointments, renewals, and regulatory documentation in accordance with state insurance department requirements. The Licensing Specialist works closely with internal stakeholders and external vendors to maintain compliance while supporting efficient onboarding and ongoing operations.

Requirements

  • 2–5 years of experience in insurance licensing, compliance administration, or regulatory operations.
  • Working knowledge of producer licensing requirements and state insurance department processes.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Ability to build relationships with internal stakeholders and external vendors.
  • Proficiency in Microsoft Office Suite and other office systems (e.g., Outlook, Teams, Excel, Word).
  • Strong judgment and problem-solving abilities in a fast-paced environment.
  • Capable of managing sensitive and confidential information with discretion.
  • High school diploma or equivalent required.

Nice To Haves

  • Experience using licensing systems such as NIPR, RegEd, AgentSync, or similar platforms preferred.
  • Experience supporting multi-state insurance operations preferred.
  • Prior experience in wholesale, MGA/MGU, or brokerage environments a plus.
  • Associate’s or Bachelor’s degree in Business, Insurance, or a related field preferred.
  • Insurance coursework or industry certifications are a plus.

Responsibilities

  • Process insurance producer and agency license applications, renewals, reinstatements, and terminations across multiple jurisdictions.
  • Maintain accurate licensing records, tracking expiration dates, CE requirements, and appointment status.
  • Submit and monitor appointments, terminations, and amendments through NIPR and applicable state systems.
  • Support onboarding and offboarding of producers and staff by ensuring all licensing requirements are met.
  • Coordinate with third-party licensing vendors and platforms as needed.
  • Respond to internal inquiries related to licensing status and regulatory requirements.
  • Assist with audits, carrier reviews, and regulatory requests by providing licensing documentation.
  • Monitor and track regulatory deadlines to ensure timely compliance.
  • Maintain internal licensing procedures, checklists, and documentation.
  • Identify and escalate licensing issues or potential compliance risks to management.
