About The Position

The position involves managing the ordering and receiving of library materials, ensuring efficient procurement processes, and providing customer service at the reference desk. The role requires the use of library acquisition software to track orders and maintain inventory, as well as assisting library users with their inquiries and technology needs.

Requirements

  • Two years of general library experience preferred.
  • Background in library technical services or comparable experience preferred.
  • Knowledge of computer software such as Windows Operating System, Microsoft Word, Outlook, and Access.
  • Any combination of education and experience that provides equivalent knowledge, skills, and abilities.

Responsibilities

  • Order and receive library materials based on requests from selectors.
  • Determine the most economical purchasing source for orders unless specified.
  • Place orders to suppliers electronically or via telephone.
  • Use GetIt Acquisitions software to create purchase orders and track material funds.
  • Perform bibliographic record searching and matching to link ordered items to existing catalog records.
  • Create original order records when necessary.
  • Receive materials, record order receipts in GetIt Acquisitions, and assign barcodes to items.
  • Send item records to catalog and forward invoices for payment.
  • Identify incomplete or incorrect orders and track standing or cancelled orders.
  • Send claims or returns as necessary and notify suppliers and selectors accordingly.
  • Order, receive, and maintain inventory of general library supplies.
  • Determine appropriate fund allocation for supply requests and initiate orders when inventory is low.
  • Maintain accurate records of purchases, including receipts and invoices.
  • Check supplies received against receipts/invoices and contact vendors for claims or returns.
  • Issue supplies to appropriate library staff or storage shelves.
  • Perform basic customer service activities at the reference service desk.
  • Assist library users with reference questions and information services in person and via telephone.
  • Assist users in the use of library technology and specific resources.
