About The Position

Responsible for cataloging, organizing, and maintaining the inventory of the UCCA Smart Start Early Childhood Resource Center and supporting daily circulation and delivery operations. Ensures that materials are accurately described, easy to find and use, clean, and complete so that early childhood providers and families can access high-quality resources that support children birth to age five.

Requirements

  • Associate’s degree in Early Childhood Education, Child Development, Library/Information Technology, Education, Human Services, or a closely related field; and at least 1–2 years of experience working in an early childhood program, school, library, or similar setting. OR High school diploma/GED plus a CDA or equivalent early childhood credential and at least 3 years of relevant experience (e.g., early childhood classroom, child care program, library, or resource center).
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Ability to deal with problems involving a few concrete variables in standardized situations.
  • Incumbent must demonstrate a working knowledge of phone systems, computer and related software, printer, calculator, copier, and fax.
  • Employee must submit to random drug screenings.
  • Incumbent must have a valid driver's license.

Nice To Haves

  • Experience with library or resource management software preferred but not required.

Responsibilities

  • Utilize Surpass (or successor) library management software to catalog and organize inventory; create and update item records; upload photos; and maintain accurate location, status, and descriptive information for all materials.
  • Prepare new materials for circulation, including barcoding, labeling, organizing components, creating instruction sheets, and packaging items so they are ready for classroom or home use.
  • Select resources for delivery to participating child care centers, Head Start and NC Pre-K classrooms, family child care homes, and other member programs based on requests, holds, themes, and curriculum needs.
  • Receive, count, and verify returned resources; ensure all parts and pieces are accounted for; perform minor repairs; and document items needing replacement or more extensive repair.
  • Clean and sanitize toys, manipulatives, and other materials upon return using approved procedures and products to ensure items are safe and ready for the next patron.
  • Maintain accurate patron records in Surpass, including membership information, checkouts, renewals, holds, due dates, fines, and fees, in coordination with the Operations & Events Coordinator.
  • Assist patrons in person, by phone, and via email with locating and selecting appropriate materials aligned with children’s ages, developmental levels, and program standards.
  • Help prepare, pack, and unpack tubs and bins for the Resource Center delivery and pick-up schedule; ensure that all items leaving and returning to the center are properly tracked.
  • Maintain an orderly, attractive shelving and display system so that materials are easy for patrons to browse and staff to manage.
  • Monitor resource usage patterns and identify underutilized, missing, or outdated materials; recommend withdrawals, replacements, or new resource purchases to the Operations & Events Coordinator.
  • Assist with basic inventory activities such as annual counts, spot checks, and weeding of damaged or obsolete items.
  • Support outreach and promotional efforts by highlighting new materials, preparing simple displays, and providing information for newsletters, social media, or other communications as requested.
  • Provide input on Resource Center policies and procedures and communicate patron feedback to the Operations & Events Coordinator.
  • Perform general housekeeping tasks within the Resource Center (straightening shelves, tidying work areas, wiping shared surfaces) to maintain a clean, safe, and welcoming environment.
