About the position

The UW Bothell & Cascadia College Campus Library has an outstanding opportunity for a Library Budget and Operations Manager. This position oversees the financial health of the library and compliance with both local (UW Bothell and Cascadia College) as well as UW Seattle and Washington State rules and regulations. Advises the Associate Dean of UW Bothell and Cascadia College Library on policy issues. Oversees facilities projects in collaboration with other libraries staff. Provides information and direction regarding procurement, travel, and records retention. Serves as primary contact with Libraries & Press Human Resources.

Responsibilities

  • Oversees the complicated library budget (>$4 million/year) intersecting three different fiscal and political entities: UW Libraries, UW Bothell, and Cascadia College.
  • Tracks, monitors, and forecasts budget revenue from various sources such as student fees, grants, and fee-based programs.
  • Oversees operation and payroll spending, ensuring salaries and wages are charged to the appropriate funds.
  • Completes Month-end, year-end and biennium-end reporting checklists provided by UW Bothell Fiscal and Audit Services.
  • Communicates with the Library's Director of Collections Strategy regarding budgeted amounts and funding sources for collections purchases.
  • Prepares annual budget requests for submission to UW Bothell and Cascadia College in collaboration with the Associate Dean.
  • Provides strategic budget analysis using various sources including salary analysis, spending trends, and modeling based on past, current, and anticipated future spending patterns.
  • Serves as primary budget/compliance liaison and point of contact for UW Bothell Fiscal & Audit Services and Institutional Budget and Planning.
  • Reviews and approves compliance for Unit ProCard's and provides funding approval for library supplies, materials orders, travel and other reimbursements.
  • Establishes priorities and coordinates work within the department and with other library and campus units.
  • Supervises one to two classified staff and oversees records retention strategy in compliance with the UW Retention Schedule.
  • Oversees facilities projects and operations processes in the library building in collaboration with the Associate Dean, Director of Public Services, and UW Bothell Facilities.
  • Tracks unit payroll and human resources activities in Workday (UW HR/P system) and serves as the primary liaison to Libraries Human Resources.

Requirements

  • Bachelor's degree in finance, business, accounting or similar.
  • 4 years of relevant work experience in finance or accounting.
  • Demonstrated fiscal management, analysis, and reporting skills and experience.
  • Demonstrated commitment to diversity, equity, and inclusion, and an understanding of the contributions a diverse workforce brings to the workplace.
  • Ability to communicate effectively with people from diverse backgrounds and develop productive, ongoing collaborative working relationships.
  • Commitment to learning new software systems as necessary to function in the evolving UW budget and procurement environment.
  • Demonstrated ability to establish and manage priorities and workflows.
  • Experience with Excel and Microsoft Office suite.
