About The Position

The Legislative Analysis Division (LAD) is a nonpartisan central staff division of the North Carolina General Assembly. Legislative analysts from LAD play an important role in the functioning of the State legislature by providing legal counsel and drafting services to legislative committees of the House of Representatives and the Senate and high-quality legal and policy information to all 170 legislators of the General Assembly, regardless of political affiliation. Legislative secretaries manage general office operations and provide administrative support to those analysts. Legislative secretaries perform office and administrative support work for legislative analysts and LAD as a whole. This includes high-visibility office reception duties to direct in-person, phone, and email inquiries, management of office support functions, and assistance in other projects as needed. Legislative secretaries are the first point of contact for many inquiries to LAD and ensure that time-sensitive requests are communicated in a timely manner. Specific job duties include:

Requirements

  • Excellent customer service skills.
  • Knowledge of business etiquette.
  • Strong communication skills, whether communicating in-person, telephonically, or in writing.
  • Knowledge of office practices and procedures, business English, grammar, and punctuation.
  • Demonstrated proficiency operating a copy machine, scanner, and other office equipment, as well as proficiency with using Microsoft 365 office programs.
  • Ability to maintain confidentiality and to handle politically sensitive work with maturity.
  • Willingness and ability to reliably work a consistent schedule to meet the needs of the NC General Assembly.
  • Ability to maintain composure and work cooperatively under pressure with legislators, legislative staff, vendors, and the public on a daily basis.
  • High school graduate or GED certificate plus two years of secretarial work experience or equivalent combination of education and experience.

Responsibilities

  • Serving as a receptionist responding to telephone calls, walk-in visits, and email correspondence.
  • Managing day-to-day office functions, including maintenance of internal LAD office information, facilitating requests for maintenance and supply orders, managing internal correspondence and form submissions, and troubleshooting office equipment.
  • Maintaining records and electronic files as requested for legislative analysts, including compiling information and data that may be of a confidential nature.
  • Performing photocopying tasks, filing of materials, sorting and distributing incoming mail, and handling outgoing mail.
  • Performing other duties as assigned.
