About The Position

The Legislate Assistant represents elected County Supervisors in their public office, delivers responsive constituent services, and executes administrative responsibilities in a diverse workplace. Provides shared services for the department and district County Board Supervisory offices.

Requirements

  • High School Diploma/GED and the completion of at least (1) one year of education at an accredited post-secondary school
  • At least one (1) or more years of experience working in a professional office setting
  • Reliable transportation needed for in-person work at the County Clerk’s office and occasional in-person district events
  • Intermediate knowledge of all related computer and software applications, such as Microsoft Office Suite
  • Basic knowledge of Salesforce, Salesforce Public Sector, Infor, SendGrid, Municode, and Wisconsin State Statutes
  • Basic knowledge of Legistar/Granicus, County Legislative Information Center, and Legislative Research Center
  • Strong verbal and written communication skills and the ability to speak effectively before both internal and external groups and the ability to work well with a variety of people at various levels
  • The ability to maintain confidential and sensitive information
  • The ability to interpret policy and recommend a course of action
  • The ability to make decisions of responsibility, involving evaluation of information
  • Decisions may require development or application of alternatives or precedents
  • Utilize judgment in the adaptation and interpretation of established practices and procedures to meet problems and situations to which the application is not clearly defined
  • The ability to plan and perform work in light of a new or constantly changing environment when problems are presented
  • The ability to deal with complex factors not easily evaluated
  • Decisions require considerable judgment, initiative, and ingenuity in areas there is little precedent

Responsibilities

  • Interact with elected officials, community-based organizations and businesses, District neighbors, and the public
  • Build relationships with County departmental contacts
  • Read and respond to emails
  • Answer and return phone calls
  • Assist walk-in constituents
  • Retrieve and open mail
  • Order District office supplies
  • Create filing systems
  • Assist with general registrations
  • Data entry for design requests and County Supervisor travel
  • Schedule standing committee agenda setting meetings
  • Secure approvals for file revisions, corrections, and supplemental documents
  • Relay committee-related changes requested
  • Act as a liaison to secure timely approval and publication of agendas in compliance with Wisconsin open meeting laws and the Milwaukee County Code of General Ordinances
  • Assist with monitoring eComments and producing eComment reports
  • Facilitate the distribution and receipt of Public Comment Cards at standing committee meetings
  • Add standing committee meetings, County Board meetings, District events, and travel dates to District calendars
  • Draft written communications, talking points, and initial press releases
  • Create articles and content for printed and electronic newsletters as well as District-related event posters, flyers, and surveys
  • Research and compile citation and certificate honoree information to compose the same utilizing templates
  • Create District-specific spreadsheets, lists, and charts
  • Log constituent contact information, survey responses, requests for service/information, and attendance at District events
  • Filter addresses for District mailings
  • Navigate Geographic Information System software to identify parcel/property information
  • Research various topics including reports, resolutions, ordinances, laws, and statutes
  • Provide legislative summary information
  • Compile and/or print agendas and file packet contents
  • Set up workspaces
  • Attend/monitor standing committee meetings
  • Assemble annual Budget binders
  • Coordinate town hall meetings, listen-and-learn sessions, community mixers, resource fairs, and District events
  • Reserve venues and request applicable permits and waivers
  • Create agendas and itineraries
  • Coordinate the creation of promotional materials and signage
  • Canvass neighborhoods with flyers, create sign-in sheets, nametags, and table placards
  • Set up tables, chairs, and canopy tents
  • Greet and receive attendees
  • Fulfill speaking requests on behalf of District offices
  • Serve as event photographer and assist with County Board presentations
  • Perform various duties as assigned to ensure success of the department's mission
