About The Position

The Legal Technology and Data Specialist supports the firm’s practice-specific applications, data processing tools, and file sharing platforms across all practice areas. This role provides day-to-day system administration, user support, and secure data handling including coordinating SFTP transfers, overseeing lateral attorney data migrations, and facilitating secure data movement in accordance with firm information governance protocols. This role has a more technical focus to resolve data issues, evaluate file types, troubleshoot data issues, and convert files if needed.

Requirements

  • High School diploma or equivalent required
  • Exceptional communication and presentation skills
  • 3+ years related experience
  • Expertise in MS Word, Excel, PowerPoint, Access, Visio
  • Experience with litigation data processing and review applications such as LAW, eCapture and Relativity.
  • Understanding of e-discovery processing workflows
  • Broad and thorough knowledge of litigation support hardware and software systems
  • Excellent customer service skills are mandatory.
  • Professional email and verbal communication skills are mandatory.
  • Excellent organizational skills and the ability to multitask efficiently.

  • This position requires the employee to work at a specified location and hours determined by the Manager for the benefit of the department and firm. Changes to the location and/or scheduled hours must be approved by the Manager.

Responsibilities

  • Create and maintain network folders for new matters ensuring accurate folder structure and access permissions are set up.
  • Gather, review, and organize data requested for transfer into or outside of the firm. Ensure legal team review. Zip data with necessary encryption for external transfer. Follow the firm’s Information Governance protocols to organize incoming and outgoing data for efficient legal team use.
  • Upload and download data to/from secure file sharing platforms in coordination with legal teams and Practice Technology Project Managers’ requirements.
  • Use the firm’s data processing tools to evaluate, organize and process data for use with Relativity or other production needs.
  • Troubleshoot data issues as needed for legal teams.
  • Manage and administer the Firm’s file sharing platforms. Upload and download data as requested. Offer alternatives as needed. Apply appropriate security using tools such as 7Zip, WinZip, WinRAR, etc.
  • Provide first- and second-level support on the firm’s file sharing platforms including ShareFile and Egnyte. Create, manage, and maintain both end user and administrator training materials.
  • Educate new lawyers and secretaries on the firm’s best practices for data organization and data management of the client’s official file on network shares, file sharing platforms, and in the document management system.
  • Assist with review, implementation and support of legal applications as requested to promote lawyer efficiencies. Examples include DealCloser, Litera, DocuSign, Proof, PSP applications, Immigration applications (INSzoom), Tax applications, Real Estate portfolio management, and others as assigned.
  • Educate legal teams and support staff on the preparation of ebinders using Kofax, Adobe and Deal Closer.
  • Monitor server disk space occupied by Practice Technology data and recommend options for optimal storage configuration. Work with the firm’s network engineers to implement necessary changes.
  • Work with the technology teams to further develop, implement and sustain standard desktop images for Practice Technology virtual and desktop machines.
  • Work with technology teams to develop, implement and sustain a standard working image for trial laptops. Create and use checklists to ensure all settings are correct and applications needed for trial are installed properly. This includes regular equipment checks and tests.
  • Assist trial teams with technical support. This includes setting up dual monitors, installing applications or utilities, configuring printers, setting up network connections in war rooms, etc.
  • Provide training and "how to" documentation at the request of the legal team or Practice Technology team regarding PT hardware and software.
  • Assist lawyers, paralegals, and the Practice Technology team members with approved data uploads and downloads from various cloud-based storage solutions such as DropBox, OneDrive, etc.
  • Capture social media sites, web sites and videos using available tools.
  • Assist with video editing as needed, converting for use with other applications such as trial presentation tools, and posting final products to the firm’s internal portal and external website.
  • Provide firm backup extranet support for legal teams and clients as requested. This includes site setup, account management, data uploads, data exports, site/application upgrades, testing, etc.
  • Assist lawyers and paralegals with technical support questions regarding practice technology products and tools. This includes setting up dual-monitors, installing applications, configuring printers, etc.
  • Develop and sustain a software license tracking process to ensure licensing compliance with all Practice Technology applications across the firm. Continually look for ways to improve the software licensing tracking process working within the firm’s standard desktop and approved computing environment.
  • Prepare copies of media (CDs, DVDs flash drives, external hard drives) as directed by the legal team or Practice Technology team.
  • Provide back-up support to other Practice Technology functions and roles as requested.
