We are looking for a Legal Recruiting Coordinator who will work with the Senior Manager, Talent Acquisition and Recruiting Committee to execute comprehensive strategies for attracting and selecting top legal candidates in Summer Associate, Associate, Technical Specialist, and Patent Agent roles. The ideal candidate is detail-oriented, possesses excellent communication skills, and thrives in a fast-paced environment. The Legal Recruiting Coordinator should be local to the DC metro area or willing to relocate. This is a hybrid role that requires regular in-office presence.

Requirements

  • 2-4 years’ experience in legal recruiting or other professional services recruiting preferred. Other comparable high-volume scheduling office administrative experience considered.
  • Bachelor’s degree preferred.
  • Stellar administrative skills and strength in learning new processes and technologies to help with task efficiency.
  • Strong independent proofreading skills.
  • Excellent self-organization, verbal and written communication skills, good judgment, and flexibility.
  • Must be able to manage workload independently, prioritize accordingly, and solve problems on the fly.
  • Strong computer and typing skills required, including intermediate knowledge of Microsoft Word, PowerPoint, Excel, and Outlook scheduling.
  • This position requires regular in-office presence for an average of 3 days per week. Flexibility to work from home an average of 2 days per week, depending on the demands of busy in-office seasons.
  • Ability to work overtime and stay for after-hours events on a regular basis from May through July and on an as-needed basis the rest of the year.

Responsibilities

  • Regularly checking all incoming candidate sources via email and the Applicant Tracking System (ATS), preparing candidate picks for review by the Senior Manager, Talent Acquisition, assembling candidate application packets in Adobe, and preparing and circulating weekly update emails to all four practice groups once picks are approved.
  • Scheduling all screening and full‑round interviews for summer associate, lateral associate, technical specialist, and patent agent roles, using sound judgment to select interviewers and confirming interviewer availability.
  • Acting as a face of the firm by greeting, welcoming, and ushering candidates and recruiting visitors, and providing in‑person tours of the firm’s office space and amenities.
  • Monitoring the general recruiting inbox and responding to all incoming queries and messages in a timely manner.
  • Sourcing potential candidates through LinkedIn, staying current on LinkedIn Recruiter tools and capabilities, and sharing curated candidate profiles with the Senior Manager, Talent Acquisition, for review and feedback.
  • Maintaining accurate and up‑to‑date applicant records in the ATS.
  • Completing the hiring process for all new hires by conducting reference checks, initiating background checks, and following up with the conflicts team through completion.
  • Collecting, organizing, and submitting receipts for recruiting expenses and completing Chrome River expense reports for all charges made to the recruiting firm credit card.
  • Shopping for recruiting gifts for candidates and incoming new hires, presenting options to senior recruiting leadership, placing orders as needed, and drafting gift‑related correspondence.
  • Coordinating, packing, and shipping recruiting materials and swag to career fairs and recruiting events.
  • Producing written and visual recruiting materials, including the Summer Look Book, electronic Outlook invitations, welcome signage, summer event calendars, and other materials as needed.
  • Liaising with the Hospitality team to support recruiting event planning and execution, including completing visitor logs, setup requests, and conference room bookings.
  • Providing ad hoc meeting scheduling support on behalf of the Senior Specialist, Legal Recruiting, and the Senior Manager, Talent Acquisition.
