About The Position

We are seeking a highly organized and detail-oriented Legal Operations Manager to join our team. This role is responsible for overseeing a wide range of legal operations and paralegal functions, including governance support, budget management, vendor onboarding coordination, legal administration, and project management. The ideal candidate will be highly business-minded, demonstrating a strategic understanding of organizational priorities while effectively managing multiple complex tasks and shifting deadlines, will have strong project management skills, excellent communication abilities, and a deep understanding of legal operations processes.

Requirements

  • Bachelor’s degree
  • 5+ years of experience in legal operations, corporate legal departments, or law firms
  • Experience managing legal budgets, vendor relationships, and legal technology platforms
  • Familiarity with corporate governance and board support processes
  • Proficiency with Microsoft Teams, SharePoint, and Office Suite
  • Experience with legal management systems such as SimpleLegal, DocuSign, and Veeva
  • Understanding of financial forecasting and budget management tools
  • Ability to manage and organize legal documents and entity records
  • Strong organizational and project management skills
  • Ability to manage several projects and workstreams simultaneously
  • Excellent communication and interpersonal abilities
  • Detail-oriented with a high level of accuracy
  • Ability to handle confidential information with discretion
  • Proactive problem-solving and decision-making capabilities

Responsibilities

  • Organization and Dissemination of Board and Committee Materials and Minutes
  • Coordinate communications
  • Maintain corporate governance records utilizing board portal software
  • Manage $5+M Legal and Compliance budget, including forecasting costs and ensuring alignment with AOP targets
  • Work with finance team to identify risks and opportunities
  • Identify cost saving opportunities
  • Onboard all Legal and Compliance vendors and law firms
  • Review and revise Firm Engagement Letters to align with Outside Counsel Guidelines
  • Coordinate signatures and maintain engagement letter repository
  • Add/manage new firms and approve timekeeper rates
  • Ensure all new firms sign Outside Counsel Guidelines and track compliance
  • Track firms being evaluated and engaged
  • Create Non-IP Matters and request budgets
  • Maintain user access and exclusion lists from pricing models
  • Manage exemption requests and vendor onboarding
  • Review operations invoices
  • Maintain Entity Officer Spreadsheet
  • Organize corporate entity documents
  • Update organizational chart
  • Maintain L&C SharePoint site
  • Maintain Legal Hold Tracker and send hold notices
  • Coordinate with parent company for silent holds and conduct custodian interviews
  • Track acknowledgements and submit IT tickets
  • Draft and negotiate various forms of contracts and agreements
  • Contract Lifecycle Management
  • Draft and manage copyright permission letters
  • Support and manage strategic projects
  • Maintain project file organization
  • Coordinate RFP process and manage related documentation
  • Manage DocuSign requests and L&C RS Mailbox
  • Manage Board Communication RS Mailbox
  • Oversee unsolicited idea submission process
  • Liaise with finance/audit for document collection
  • Administer PLI subscriptions
  • Maintain IP guidance documents
  • Support SIR invoice processing and vendor inactivation
  • Maintain password and access documentation
