About The Position

Pura Scents, Inc. seeks a highly organized, project-oriented, and technology-forward Corporate Legal Operations Manager to serve as the operational hub of the company’s Legal Department. This role blends legal project management, contract lifecycle coordination, technology implementation, and administrative support into one critical position. The individual will act as the project manager for the Legal Department’s workstream, ensuring that matters move efficiently through intake, review, approval, execution, and archival — while maintaining transparency, accountability, and communication across all stakeholders. The position demands exceptional inter-personal and organizational ability, cross-functional coordination, and proactive communication skills. Requirements

  • Bachelor’s degree and/or 4+ years of experience in legal operations, or project management roles.
  • Demonstrated experience in project management — including setting timelines, managing dependencies, tracking milestones, and reporting on outcomes.
  • Advanced proficiency in Microsoft Office (especially PowerPoint and Excel) and familiarity with project management tools (e.g., Monday.com, Smartsheet, Asana, or similar).
  • Capability with emerging AI technologies.
  • Strong written and verbal communication skills with the ability to manage stakeholders and maintain alignment across multiple teams.
  • Detail-oriented with strong organizational and follow-up skills.
  • Interest or experience in AI-enabled legal technology and process automation.
  • Must be or become a commissioned Utah Notary Public within six months of hire.

Nice To Haves

  • Certified Paralegal (CP/ACP) or Legal Operations certification (CLOC, ACC LDO).

Responsibilities

  • Act as the project manager and operational lead for departmental initiatives, including contracts, litigation, compliance, IP, and corporate governance.
  • Maintain and continuously improve the department’s project tracking systems (matter management and spend, task lists, dashboards, Gantt-style project timelines).
  • Work with the CLO to prioritize incoming requests, allocate resources, and ensure timely completion of deliverables.
  • Establish project plans, milestones, and checklists for recurring legal processes such as contract renewals, filings, compliance certifications, billing and audits.
  • Drive weekly and monthly progress reporting—tracking key metrics such as matter volume, contract turnaround, and outside counsel spend.
  • Anticipate upcoming legal projects and proactively prepare timelines, data, and resource requirements.
  • Serve as the central intake and coordination point ('air traffic control') for all legal requests and contract activity within Pura.
  • Implement and oversee contract workflow systems that track each agreement from intake through approval, signature, and archival.
  • Ensure each internal stakeholder (Finance, Supply Chain, Marketing, etc.) has reviewed contracts before execution.
  • Oversee execution through digital signature tools, ensuring that completed documents are properly archived and indexed.
  • Maintain the CLM repository, ensuring data integrity and completeness (e.g., counterparty, term, renewal date, governing law).
  • Build and maintain contract playbooks and SOPs for other matters.
  • Generate real-time dashboards for contract pipeline, cycle times, upcoming renewals, and key performance metrics.
  • Draft, edit, and review simple agreements and NDAs under the supervision of counsel.
  • Lead the department’s technology roadmap — researching, recommending, and implementing systems that increase automation, visibility, and control.
  • Serve as the technology project manager, coordinating vendors, internal IT, and implementation timelines for tools such as CLM, matter management, and AI assistants.
  • Train legal team members and business users on systems and process improvements.
  • Champion the adoption of AI-based tools for contract review, legal research, summarization, and reporting, ensuring compliance and security protocols are observed.
  • Develop and document process maps and playbooks to standardize recurring tasks.
  • In coordination with the CLO, manage the legal department’s budget and outside counsel engagement process, including matter numbers, spend tracking, and invoice approval workflows.
  • Maintain visibility into all active external matters, with up-to-date reporting on status, costs, and deliverables.
  • Support the CLO in evaluating outside counsel performance and spend trends to inform resource allocation.
  • Prepare monthly and quarterly spend and performance summaries for executive review.
  • Assist with drafting outside counsel billing guidelines, monitoring compliance, and handing billing disputes
  • Maintain legal compliance files and documentation, including required labor and immigration (PERM) records.
  • Maintain records of insurance coverage and ensure key stakeholders receive updated certificates as needed.
  • Track and assist with all company insurance renewals and maintain certificates of insurance in coordination with Finance and HR.
  • Maintain various corporate records.
  • Manage annual filings, registered agent renewals, and subsidiary recordkeeping.
  • Upon request, track internal policy approvals, board actions, and entity governance documents.
  • Support litigation hold administration, subpoena management, and garnishments
  • Create department reports and executive updates.
  • Assist in preparing professional presentations and dashboards (PowerPoint, Google Slides, or similar) for the CEO, Board of Directors, and business leaders.
  • Support post-project reviews to capture lessons learned and process improvements.
