About The Position

Lead the operations of a high-performing litigation firm where your ability to drive accountability, manage financial workflows, and support a strong team directly impacts the success of the practice. This is a hands-on leadership role for someone who thrives in both people management and financial operations, and who wants to take ownership of how a law firm runs day to day. You will serve as the operational backbone of the firm, ensuring that the team is aligned, systems are followed, and financial processes run smoothly and consistently. This role is ideal for someone who is confident leading people, comfortable working in the details, and motivated by creating structure, accountability, and results.

Requirements

  • 5+ years of experience in operations, office management, or bookkeeping within a law firm or professional services environment
  • Strong experience with legal billing, expense tracking, and financial coordination
  • Proven ability to manage people and drive accountability across a team
  • Ability to balance detailed financial responsibilities with leadership and oversight
  • Confidence operating independently and bringing solutions forward

Nice To Haves

  • Experience with Clio and Microsoft 365 preferred

Responsibilities

  • Lead and manage paralegals and administrative staff, including coaching, performance management, and development
  • Drive accountability across the team to ensure deadlines, client expectations, and internal standards are consistently met
  • Partner with attorneys to coordinate workflow, capacity, and case progress, without involvement in legal strategy
  • Ensure consistent adherence to billing, time entry, and operational processes
  • Lead hiring, onboarding, and role clarity for non-attorney team members
  • Own day-to-day bookkeeping, including expense entry, receipts, and billable cost tracking
  • Manage the full billing cycle from time entry coordination through invoice generation and client communication
  • Oversee accounts receivable and drive follow-up on outstanding balances
  • Monitor retainers and ensure replenishment processes are consistently followed
  • Prepare and organize financial data for outsourced CFO review
  • Serve as the primary point of contact for the outsourced CFO on financial coordination and reporting needs
  • Run weekly operations meetings and maintain visibility on firm priorities
  • Track and report on key metrics including billing, accounts receivable, case progress, and productivity
  • Identify operational bottlenecks and implement practical, effective solutions
  • Ensure consistent use of firm systems, including Clio and Microsoft 365
