About The Position

The Legal Executive Assistant (LEA) plays a vital role in managing day-to-day activities by managing the flow of information while screening, organizing, and prioritizing requests from both internal and external clients. This position is ideal for a self-starter with high energy who can work independently and identify creative solutions to complex business problems. The LEA supports and demonstrates fluency in the Firm's Trusted Advisor and Proactive Assistance programs, maintains strict confidentiality, and possesses exceptional verbal and written communication skills.

Requirements

  • College degree or equivalent.
  • Expert proficiency with MS Office applications (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills with excellent attention to detail.
  • Strong interpersonal skills and ability to build relationships.
  • Expert written and verbal communication skills.
  • Proactive approach to problem-solving and strong decision-making capability.

Responsibilities

  • Composes, edits and proofreads correspondence, presentations and other documents.
  • Monitors lawyer's inbox and organizes Outlook folder structure.
  • Ensures client/matter related documents and emails are stored in iManage Workspaces.
  • Manages multiple calendars and supports scheduling requirements across multiple lawyers, clients, offices and time zones.
  • Coordinates internal/external meetings and arranges logistics based on meeting requirements.
  • Applies best practices when arranging travel and monitors lawyers' travel.
  • Provides superior client service with internal and external clients.
  • Assists with new client and new matter intake.
  • Obtains subject matter expert level knowledge of the billing process.
  • Creates draft entries for billing based on lawyer activity.
  • Proactively manages lawyers to ensure billing entries meet deadlines.
  • Efficiently reconciles and processes expenses.
  • Proactively coaches lawyers to delegate non-billable tasks.
  • Fosters open communication with teammates and cross-trains teammates.
  • Actively contributes to team-related activities and maintains subject matter expertise.
