Small Business Lending, LLC. is looking to add a Legal Assistant to its team. The Legal Assistant provides in-office administrative and operational support to the legal and closing teams, ensuring timely processing, tracking, and distribution of loan documentation. This role is responsible for managing certified mailings, maintaining accurate records within internal systems, and supporting post-closing compliance activities, including collateral perfection.

Requirements

  • Minimum of 1 years' experience as a legal assistant in an office environment
  • Familiarity with commercial loan closing documentation
  • Proficient with file management and PDF software and MS Office suite
  • Strong attention to detail and organization skills
  • Ability to manage multiple tasks and meet deadlines in a structured environment
  • Effective written and verbal communication skills
  • Willingness to learn new technology and software programs
  • Ability to work in a fast paced environment
  • Ability to follow orders of senior legal staff and senior management

Nice To Haves

  • Experience in banking or lending is a plus

Responsibilities

  • Report to the Orlando, FL office Monday through Friday to support daily legal and closing operations in a fast-paced, deadline-driven environment.
  • Pull required reports to identify documents that must be sent via certified mail, prepare mail packages, and ensure accurate and timely delivery to appropriate parties. Maintain tracking records and confirm receipt as needed.
  • Coordinate and execute the mailing of legal documents, ensuring compliance with internal procedures and regulatory requirements related to certified mail.
  • Upload and organize loan documentation within the internal portal to support both closing and post-closing compliance requirements. Ensure documents are properly labeled, complete, and accessible for internal teams.
  • Process and complete vehicle title perfection, including preparing required documentation, submitting to appropriate agencies, and tracking status to ensure lien perfection is achieved in a timely manner.
  • Log, sort, and distribute incoming mail; maintain organized physical and electronic records; and ensure all correspondence is properly filed and tracked.
  • Provide general administrative support to the legal and closing teams, assisting with special projects and additional responsibilities as assigned.
