About The Position

GrayRobinson, a full-service law and government-consulting firm with 16 offices in Florida and Washington, D.C., has an opening in our Tampa office for a full-time Legal Assistant in a national regulated products group. The successful candidate will have 5+ years of transactional experience in a law firm or corporate environment, with an emphasis on licensing and compliance work connected to the alcohol, food, tobacco, and cannabis industries. This role is ideal for a proactive, detail-oriented professional who thrives in a fast-paced legal environment and is committed to delivering exceptional client service. The Legal Assistant supports attorneys by managing administrative and legal tasks. They ensure transactions and regulatory licensing projects run smoothly by handling administrative duties and substantive legal support under attorney supervision.

Requirements

  • Keen attention to detail, including effective proofreading and drafting skills
  • Strong multitasking abilities
  • Excellent organizational skills
  • Exceptional time management and verbal and written communication skills
  • Microsoft Office (Outlook, Word, Excel, etc.)
  • 5+ years of transactional experience in a law firm or corporate environment, with an emphasis on licensing and compliance work connected to the alcohol, food, tobacco, and cannabis industries

Responsibilities

  • Time entry, billing, and general accounting support
  • Assisting with administrative project management and document workflows
  • Preparing and submitting attorney expense reports
  • Direct, professional communication with clients regarding scheduling, document needs, project updates, and general correspondence
  • Managing and scheduling attorney calendars, meetings, and travel
  • Drafting and proofreading correspondence and legal documents
  • Preparing and assembling conference and presentation materials
  • Managing email and electronic file organization
  • Maintaining client contact records and conducting conflict checks for potential and existing clients
  • Providing support for client development initiatives
  • Assisting with federal, state, and local regulatory licensing and research tasks
